Job Description

About our Company Woman-owned dirt-work and pipeline contractor in the Central Valley. We do grade and earthwork, billed by the yard and sometimes by the hour on tractors and scrapers, and irrigation and pond pipeline work. We are small. The owner still bids, runs jobs, and makes the decisions. This person takes over the desk, so jobs get estimated, tracked, billed, and costed without things sitting in a pile.

What you will do:

Build and track estimates in QuickBooks and Excel for dirt work (quantities, haul, equipment hours, yardage) and pipeline (pipe, fittings, structures, labor, equipment). Turn field tickets, material invoices, and sub bills into job costs. Enter and reconcile jobs in QuickBooks Desktop and Excel. Code costs to the right job. Produce invoices from the estimate or from time-and-material tickets.

Track active jobs:

percent complete, change orders, what has been billed, what is still owed, and what the job is making. Follow up on past-due invoices. Keep vendor and customer files, lien releases, and job folders in order. Prepare simple job-cost and cash reports for the owner each week. Answer calls, schedule material deliveries, and coordinate with operators and subcontractors. Occasional site visits to confirm quantities or pick up tickets.

What you need:

Solid QuickBooks Desktop. Construction or job-costing use is a plus. We are not on QuickBooks Online.

Strong Excel:

formulas, lookups, and clean tracking sheets. Not just data entry. You may need to build an Excel book to track jobs if the one we have is not adequate. At least two years in a construction office, bookkeeping, estimating support, or project admin role. Comfort with numbers, deadlines, and messy field paperwork. Reliable transportation and a valid driver's license. Able to work on-site in Hanford during business hours. Helpful, not required: Dirt, grading, underground, irrigation, or agricultural construction. Reading plans enough to do a basic quantity takeoff. Progress billing and retention. Certified payroll or prevailing wage exposure. Some of our work is public.

How we work:

You will be trained on our sheets, our unit prices, and how we bill. The owner reviews estimates before they go out for the first several months. After that, the goal is for you to run estimating support, billing, and job costing with the owner checking the big items, not rebuilding every spreadsheet unless sheets are not adequate to perform the tasks required. This is a hands-on office role in a small company. You will not have a department under you. You will have direct access to the owner and real responsibility.

To apply:

Send a resume and a short note on the construction software you have used, especially QuickBooks Desktop and Excel. Tell us whether you have done estimating, billing, job costing, or all three. If resume does not meet requirements, it will not be considered.
