We are one of the fastest-growing manufactured home and RV property management companies in the country. Island Communities currently operates 64 —and growing—manufactured home communities and RV parks, totaling approximately 6,600 lots across Florida, Indiana, West Virginia, Ohio, and North Carolina. Position Overview We are seeking a Construction Coordinator to support the Used Homes team by sourcing and managing the vendors and contractors who perform rehab work on used manufactured homes. This role is responsible for sourcing vendors, obtaining competitive bids on all rehab work, selecting qualified vendors, and reviewing vendor invoices against contracted bid amounts to ensure the company is billed accurately and rehab stays on schedule and budget. Key Responsibilities
  • Identify, vet, and onboard qualified vendors and contractors for used home rehab work (electrical, plumbing, HVAC, flooring, drywall, painting, skirting, and related trades).
  • Compare bids for scope, pricing, timeline, and vendor qualifications; recommend and document vendor selection.
  • Negotiate pricing and terms with vendors and issue approved work orders/contracts based on the winning bid.
  • Confirm vendors carry required licensing and insurance before work begins.
  • Schedule and coordinate vendor work with Community Managers to align with move-in and sales timelines.
  • Working with Project Manager confirms scope and verifies completed work matches the contracted bid.
  • Review vendor invoices line-by-line against the contracted bid amount; verify billed work, quantities, and any change orders are accurate and approved.
  • Identify and resolve discrepancies between invoiced amounts and approved bids before invoices are paid.
  • Approve reconciled invoices for payment and process through the company's systems (Backoffice, Avid, etc.).
  • Track rehab costs against budget by home and by community; flag cost overruns to management.
  • Maintain organized records of bids, contracts, invoices, and vendor documentation for each project in Backoffice.
  • Build and maintain a network of reliable, qualified vendors by trade and region to ensure competitive bidding on future work.
  • Communicate regularly with Community Managers and Used Homes leadership on vendor performance, project status, and budget.
Qualifications 2+ years of experience in vendor management, procurement, construction administration, or property maintenance coordination; manufactured/mobile home experience a plus. Experience with Property Management CRM tools, such as Backoffice, Yardi or similar along with MS Office. Experience soliciting and evaluating competitive bids from contractors or vendors. Strong skills in reviewing and reconciling invoices against contracts or bids; high attention to detail with numbers. Basic understanding of residential construction/rehab scopes of work (electrical, plumbing, HVAC, flooring, drywall, paint, etc.) sufficient to evaluate bids and verify completed work.
