Owner / Principal Project Manager About River Right Construction Management River Right Construction Management provides professional construction management and project oversight services for custom residential and commercial projects. We work closely with owners, contractors, consultants, trade partners, and vendors to keep projects organized, moving forward, and aligned with schedule, budget, and quality expectations. We are seeking a highly organized and dependable Part-Time Project Coordinator to provide day-to-day project and administrative support to company leadership. This is a hands-on coordination role for someone who understands construction and enjoys keeping projects organized, following up on details, maintaining documentation, and making sure important tasks do not fall through the cracks. The ideal candidate is proactive, detail-oriented, comfortable working independently, and able to move between multiple projects and priorities throughout the week. Key Responsibilities Project Coordination & Administrative Support Assist with the setup and ongoing administration of construction projects. Maintain organized electronic project files, folders, contracts, drawings, specifications, correspondence, and other project documentation. Track project action items, deadlines, decisions, and outstanding information and follow up with responsible parties. Assist the Owner/Principal Project Manager with project prioritization and day-to-day workflow management. Help coordinate project calendars, meetings, site visits, inspections, and other project activities. Prepare meeting agendas, take meeting minutes, distribute notes, and track follow-up items through completion. Prepare routine project correspondence, reports, summaries, and other documentation as needed. Maintain confidential project, client, and company information with professionalism and discretion. Construction Documentation & Project Controls Assist with submittal requests, tracking, distribution, and documentation. Maintain logs for submittals, RFIs, change orders, contracts, purchase orders, inspections, and other project documentation as required. Assist with document control to ensure current plans, specifications, and project information are properly maintained and accessible. Coordinate inspection scheduling and maintain inspection records and supporting documentation. Assist with organizing engineering reports, consultant documentation, warranties, closeout documents, and other project records. Maintain project photos and other documentation of construction progress. Scheduling & Follow-Through Assist with maintaining project schedules and milestone trackers. Track upcoming deadlines, long-lead items, inspections, deliveries, meetings, and other critical project activities. Follow up with contractors, subcontractors, consultants, vendors, and suppliers regarding outstanding information or commitments. Identify potential scheduling or coordination issues and bring them to management's attention. Help ensure action items from project meetings are completed and documented. Budget & Cost Support Organize invoices, proposals, contracts, change orders, and supporting cost documentation for management review. Assist with basic cost research and comparison of vendor and trade partner proposals. Help identify missing documentation or discrepancies requiring management review. Bidding & Procurement Support Assist with preparing bid packages and defined scopes of work. Distribute bid requests and communicate with prospective trade partners and vendors. Track proposals and follow up on outstanding bids. Organize proposals for management review and comparison. Assist with researching products, specifications, vendors, construction methods, and material availability. Maintain procurement and long-lead-item tracking as needed. Field & Team Coordination Periodically visit project sites to assist with documentation, inspections, progress tracking, and coordination. Document project progress through photographs, notes, and project management software. Assist with coordination between the Owner/Principal Project Manager, contractors, subcontractors, consultants, vendors, suppliers, and clients. Help communicate project information and follow-up requirements to appropriate team members. Assist with punch lists, completion tracking, warranty documentation, and project closeout. Identify issues or missing information and work with the project team to help move items toward resolution. Required Qualifications Construction Experience Previous experience in construction project coordination, project administration, construction management, superintendent support, owner's representation, or a related construction role is strongly preferred. Practical knowledge of construction processes and terminology is important. Organization & Follow-Through Exceptional organizational skills and the ability to manage numerous details across multiple projects. This position requires someone who takes ownership of assigned tasks and follows them through to completion. Technology Comfort working with Microsoft Office, particularly Word, Excel, Outlook, and Teams. Experience with Buildertrend, Procore, Bluebeam Revu, Autodesk, Asana, or similar construction/project management platforms is preferred. Communication Strong written and verbal communication skills and the ability to interact professionally with clients, contractors, subcontractors, consultants, vendors, and internal team members. Attention to Detail Ability to maintain accurate records, recognize missing information, track outstanding items, and ensure important project details are not overlooked. Problem Solving Ability to recognize issues early, gather the necessary information, communicate concerns, and help coordinate practical solutions. Self-Management Must be comfortable working independently, managing competing priorities, and communicating proactively with company leadership regarding project status and outstanding needs. Transportation Reliable transportation and a valid driver's license are required for occasional travel to project sites, meetings, vendor locations, and other project-related activities. Preferred Qualifications Experience with custom residential and/or commercial construction. Experience supporting multiple construction projects simultaneously. Familiarity with construction drawings, specifications, submittals, RFIs, change orders, pay applications, and project closeout documentation. Experience with Buildertrend, Procore, Bluebeam Revu, or similar construction management software. Basic familiarity with AutoCAD, Revit, or other design/construction software is a plus. OSHA or other construction industry certifications are a plus but not required. Physical Requirements This position may periodically require visiting active construction sites and working in varying weather conditions. Candidates should be comfortable walking active job sites, climbing stairs, and performing basic visual inspections and project documentation. Can quickly shift between projects and priorities while maintaining accuracy. Represents River Right professionally with clients, contractors, consultants, vendors, and trade partners. Looks for practical ways to improve project organization and company processes. Helps free up the Owner/Principal Project Manager to focus on higher-level project management, client relationships, field decisions, and company growth. Compensation Compensation will be based on experience, qualifications, and the anticipated part-time schedule. Part-time employees may be eligible for a fuel card for approved project-related travel and a monthly stipend, depending on hours and employment arrangement. Work Location Whitefish, Montana, with a combination of office, remote administrative work, and periodic project-site responsibilities. Candidates must currently reside in Montana and within reasonable commuting distance of Whitefish.
