Since 1975, we have provided design, layout, sales, installation, and service throughout New England from our headquarters in Londonderry, New Hampshire. Our 4.5-day workweek consists of nine-hour days Monday through Thursday and a four-hour Friday. Position Summary The Associate Commercial Construction Project Manager is the next career level above Assistant Project Manager. Under the direction of the Construction Team Manager, this position coordinates smaller, lower-risk commercial construction projects or defined portions of larger projects from turnover through closeout. The role has greater ownership and accountability than an Assistant Project Manager while continuing to receive guidance on significant cost, schedule, scope, contractual, and customer decisions. This is primarily an office-based position with occasional site visits. Key Responsibilities Project Planning and Coordination Coordinate assigned smaller commercial construction projects or defined portions of larger projects from internal turnover through closeout, following approved contracts, budgets, schedules, and company procedures. Develop and maintain project schedules, procurement logs, submittal logs, RFI logs, change-order logs, and action-item lists with guidance from the Construction Team Manager. Coordinate project requirements with estimators, sales, field operations, suppliers, subcontractors, general contractors, architects, engineers, owners, and internal departments. Facilitate routine project coordination meetings when assigned and distribute clear minutes, assignments, due dates, and follow-up documentation. Contract Documentation and Compliance Assist in reviewing contracts, drawings, specifications, proposals, estimates, and scope documents to identify requirements, exclusions, deliverables, and potential project risks. Manage RFIs, submittals, product data, shop drawings, permits, and other project documentation; track responses and communicate impacts to the appropriate stakeholders. Maintain complete, accurate, and audit-ready electronic project files in accordance with company document-control standards. Support compliance with applicable building requirements, project-specific safety expectations, contractual obligations, and company policies, promptly escalating concerns to the Construction Team Manager. Procurement, Cost, and Change Management Obtain and compile supplier and subcontractor pricing; verify scope, lead times, and delivery requirements for manager review before commitment. Prepare purchase orders and coordinate approved material and subcontractor procurement within established procedures and authorization limits. Track commitments, actual costs, forecasted costs, and margin information; promptly report variances to the Construction Team Manager. Identify, document, price, and track potential change orders for manager review and approval. This position does not independently negotiate contract terms or authorize unapproved work. Support invoice review by comparing documentation with project scope, progress, and purchasing records. Schedule, Site Coordination, and Issue Resolution Create and update project schedules, monitor milestones and long-lead items, and promptly communicate schedule concerns. Coordinate access, deliveries, subcontractor activities, field requirements, and installation readiness with internal and external project partners. Conduct occasional site visits to verify conditions and progress, participate in coordination meetings, document observations, and help resolve project issues. Help resolve routine coordination issues and escalate material scope, cost, schedule, quality, safety, customer, or contractual concerns to the Construction Team Manager. Closeout and Customer Service Coordinate punch-list completion, inspections, training, turnover, and final acceptance activities. Prepare and deliver complete closeout packages, including warranties, operation and maintenance manuals, as-built drawings, permits, test documentation, and training records. Maintain professional, responsive communication with customers and project partners, and support timely resolution of warranty or post-completion items. Participate in post-project reviews and recommend process improvements based on lessons learned. Scope of Authority and Accountability Accountable for the organization, accuracy, timeliness, and follow-through of assigned smaller projects or project workstreams. May coordinate routine project activities, obtain pricing, prepare documentation, and make day-to-day administrative decisions within approved plans and procedures. Must obtain manager approval before changing scope, schedule, contract terms, pricing, margin, vendor selection, or financial commitments. Provides regular project status updates and escalates risks, delays, customer concerns, and decisions outside established authority. Qualifications Minimum of four years of progressively responsible project coordination or assistant project management experience in commercial construction, preferably with a general contractor, specialty contractor, construction equipment provider, or related trade. Associate's or bachelor's degree in Construction Management, Civil Engineering, Business, or a related field preferred; an equivalent combination of education and relevant experience will be considered. Working knowledge of the commercial construction project lifecycle, including drawings and specifications, RFIs, submittals, procurement, scheduling, cost tracking, change orders, permits, and closeout. Demonstrated readiness to coordinate smaller projects or defined project workstreams with regular manager oversight. Strong written, verbal, organizational, analytical, and relationship-management skills. Ability to prioritize competing deadlines, maintain detailed records, exercise sound judgment, and work effectively across departments. Proficiency with Microsoft Outlook, Word, Excel, and Teams; experience with NetSuite or another ERP/project management system preferred. Valid driver's license and ability to travel occasionally to commercial construction sites within the company's service area.
