Job Description

Position Summary The School-Age Child Care Program Supervisor combines day-to-day site leadership with staff coaching, performance support, and program administration for Ramapo for Children's before- and after-school program. This role is responsible for maintaining a safe, well-run, developmentally appropriate program; ensuring accurate records and licensing compliance; strengthening frontline staff practice through real-time coaching and professional development; supporting positive communication with families and school partners; and maintaining timely and accurate program information in CampSite and other required systems. Essential Responsibilities Build a safe, supportive, structured program environment that promotes children's self-expression, skill development, positive relationships, and personal growth. Oversee daily site operations and ensure compliance with Ramapo policies, licensing requirements, supervision standards, child-safety expectations, and program procedures. Maintain accurate daily attendance for children and staff, review school absence information, and follow up with families when a scheduled child is unexpectedly absent. Ensure continuous supervision of children, including accurate head counts during transitions between activities and program areas. Ensure children are released only to authorized parents, guardians, or emergency contacts and that required sign-in and sign-out information is accurately recorded. Follow Ramapo protocols for first aid and emergencies and ensure timely completion of incident reports, medical logs, fire-drill documentation, and other required records. Assign and oversee daily staff responsibilities, including activities, snack, homework support, restroom supervision, transitions, dismissal, and clean-up. Provide active, in-the-moment coaching to Group Leaders and other frontline staff, identifying teaching opportunities and reinforcing effective youth-development, supervision, communication, and behavior-support practices. Model professional conduct, positive behavior support, strong communication, sound judgment, and effective engagement with children and families. Address staff performance concerns promptly in partnership with the SACC Site Director and provide clear, actionable feedback. Complete staff performance evaluations twice annually and contribute to ongoing staff-development plans. Plan and facilitate at least one staff professional-development session each month in coordination with program leadership. Supervise interns and volunteers and ensure they understand program expectations, responsibilities, professional boundaries, and child-safety requirements. Facilitate age-appropriate activities and provide direct program coverage when needed. Maintain a clean, safe, and sanitary program environment and ensure appropriate hygiene practices. Report facility or maintenance concerns promptly to appropriate school personnel and SACC leadership. Support the planning and implementation of special events, family activities, and other program initiatives. Communicate regularly with the SACC Site Director regarding staffing needs, staff performance, family concerns, program operations, and opportunities for improvement. Attend necessary trainings to be in compliance with SACC regulation requirements. CampSite & Administrative Responsibilities Maintain accurate and current participant, family, enrollment, attendance, and program information in CampSite. Enter and update registrations, schedules, authorized pickup information, emergency contacts, health or accommodation documentation, and other required participant records. Support enrollment administration, including reviewing files for completeness, identifying missing documentation, and following up with families as directed. Use CampSite to support attendance reconciliation, rosters, participant lists, reports, and other routine program tracking. Maintain organized electronic and paper program records in accordance with Ramapo procedures and applicable child care licensing requirements. Assist with routine family communications, program notices, forms, and administrative follow-up. Support staff recordkeeping, including training documentation, certifications, evaluations, schedules, and other required personnel records in coordination with program leadership. Prepare or assist with reports, spreadsheets, supply requests, and other administrative tasks necessary for effective program operations. Protect confidential participant, family, and staff information and follow Ramapo privacy and data-handling expectations. Maintain required child care training, including 30 hours of child care-related training every two years. Attend required Ramapo trainings and meetings. Perform other duties as assigned. Supervisory Responsibilities Directly supervises assigned SACC Group Leaders, interns, and volunteers. Provides day-to-day direction, work assignments, coaching, performance feedback, and accountability. Works in partnership with the SACC Site Director on staffing, performance management, professional development, and program quality. Qualifications Experience working in child care, school-age programming, education, recreation, camp, or youth development. Demonstrated ability to supervise children safely and manage group behavior using positive practices. Demonstrated ability to coach, supervise, and provide constructive feedback to staff. Strong interpersonal and communication skills and the ability to build trust with children, families, staff, and school partners. Strong organizational skills and attention to attendance, incident, safety, licensing, and administrative documentation. Comfort using databases, spreadsheets, and other technology for accurate record-keeping; ability to learn and use CampSite effectively. Ability to facilitate staff learning and professional development. Ability to meet all background check, training, certification, and licensing requirements applicable to the position. Prior supervisory, site-leadership, coaching, or staff-development experience in a youth-serving organization. College-level coursework or credits in child development, education, social work, youth development, or a related field. Experience in school-age child care or out-of-school-time programming. Experience working within New York State child care licensing requirements. Experience using CampSite or another camp, child care, student-information, enrollment, or participant-management database. Experience supporting children with a range of social, emotional, behavioral, or learning needs. Knowledge, Skills & Abilitie s Sound judgment and ability to make timely decisions in a child-centered environment. Strong coaching mindset with the ability to recognize and use real-time teaching opportunities. Ability to set clear expectations, provide direct feedback, and hold staff accountable while maintaining supportive relationships. Ability to model Ramapo's relationship-based approach to youth development and staff leadership. Strong written and verbal communication skills. Strong attention to detail, organization, reliability, and follow-through. Ability to manage multiple operational and administrative priorities while maintaining a calm, supportive program environment. Ability to handle confidential information with discretion. Physical & Work Environment Work is performed in a school-age child care setting and may include classrooms, cafeterias, gyms, playgrounds, offices, and other indoor and outdoor spaces. Must be able to actively supervise children and staff, move throughout program spaces, participate in activities, perform routine computer and administrative work, and respond promptly in an emergency.
