Office Manager / Bookkeeper Top A Court | Full-Time, On-Site | Ambler, PA Our crews are great at building — what we need is the person who keeps everything behind the scenes running just as well. As we take on more work, the books, the billing, and the day-to-day office operations need a dedicated owner. That person touches every job we do and knows where every dollar went. About Top A Court Top A Court is a construction company serving the greater Philadelphia region. We're a close-knit team where everyone's work is visible and everyone's contribution matters. You'll work directly with the owner and our field crews — no layers, no bureaucracy. About the Role You'll be the financial and administrative backbone of the company. A year from now, success looks like this: books that close cleanly every month, every expense allocated to the right job so we know what each project actually made, payroll that runs like clockwork (including certified payroll on prevailing-wage work), progress billings that go out on time and get paid, and an office where subs' insurance certs, lien waivers, permits, and vendor files are always current — without anyone having to chase them. What You'll Do Own full-cycle bookkeeping in QuickBooks — accounts payable, accounts receivable, credit card and bank reconciliations, and monthly close support for our outside CPA. Run job costing — allocate labor, material, equipment, and subcontractor costs to the right jobs and produce job profitability reports the owner can act on. Process weekly payroll , including certified payroll / prevailing-wage reporting on public projects. Manage progress billing — prepare
AIA G702/G703
pay applications, track retainage, and handle lien waivers and releases. Keep subcontractor and vendor compliance current — certificates of insurance, W-9s, subcontract files, and year-end 1099s. Run the office — answer phones, schedule, maintain permit and insurance files, keep HR and employee paperwork in order, and be the first point of contact for customers and vendors.
What We're Looking For Required:
5+ years of bookkeeping experience, including AP, AR, and payroll Hands-on experience with QuickBooks (Online or Desktop) Comfortable in Excel (sorting, filtering, basic formulas) Highly organized and self-directed — you'll own this area, not assist with it Discretion with payroll and financial information Preferred (nice to have): Experience in construction or trades — job costing, WIP, retainage Certified payroll / prevailing-wage reporting experience (PA public works, LCPtracker or similar) Familiarity with AIA billing (G702/G703) and lien waiver workflows Experience with Buildertrend, Procore, or similar construction software Compensation & Benefits $55,000 - $70,000 per year , depending on experience.

$25.00 - $35.00 per hour
