Job Description

Triarch Industrial is seeking an organized, detail-oriented Estimating Coordinator to support the estimating department in the preparation, coordination, and submission of competitive construction proposals. The Estimating Coordinator will serve as a key administrative and organizational resource for the estimating team, helping ensure bid opportunities are properly tracked, estimating information is organized, deadlines are met, and proposals are submitted accurately and on time. This position is ideal for someone who thrives in a fast-paced environment, has excellent attention to detail, and enjoys working with multiple projects and deadlines simultaneously. Key Responsibilities Monitor and maintain the company's bid calendar and upcoming proposal deadlines. Coordinate bid invitations, plans, specifications, addenda, and other project documents. Distribute bid opportunities and project information to appropriate estimators and management. Maintain organized electronic project and estimating files. Track bid status from initial invitation through proposal submission. Coordinate and document pre-bid meetings, site visits, bid openings, and other project milestones. Monitor incoming RFIs, clarifications, addenda, and other changes affecting bids. Assist estimators with obtaining subcontractor and vendor quotations. Maintain subcontractor and vendor contact information and quote history. Follow up with subcontractors and suppliers for outstanding pricing. Help ensure all required proposal forms, certifications, bonds, and supporting documentation are completed prior to submission. Assist with proposal preparation, formatting, and final submission. Maintain accurate bid logs and estimating department reports. Assist with tracking awarded, lost, and pending projects. Coordinate communication between estimating, operations, project management, and company leadership. Assist with maintaining estimating procedures, templates, and standard documentation. Perform other administrative and coordination duties as assigned. Qualifications High school diploma or equivalent required; associate or bachelor's degree preferred. 2+ years of experience in construction, estimating, project coordination, administrative support, or a related field preferred. Strong organizational and time-management skills. Exceptional attention to detail and accuracy. Ability to manage multiple projects and deadlines simultaneously. Strong written and verbal communication skills. Proficiency with Microsoft Office, particularly Outlook, Excel, Word, and Teams . Ability to learn construction estimating and project management software. Ability to read and understand basic construction documents is preferred. Construction industry experience is strongly preferred but not required for the right candidate. Preferred Experience Experience with any of the following is a plus: Construction estimating Industrial construction Mechanical, electrical, HVAC, or plumbing estimating Oil & gas or utility construction Bid management ConstructConnect, BuildingConnected, SmartBid, or similar bid platforms Microsoft Office ERP or project management systems What We're Looking For The successful candidate will be someone who: Owns the details and doesn't let deadlines or information fall through the cracks. Can prioritize competing deadlines in a high-volume estimating environment. Communicates effectively with estimators, subcontractors, vendors, clients, and management. Is comfortable making follow-up calls and emails to obtain information and pricing. Takes initiative rather than waiting to be told what needs to be done. Can identify missing information and proactively resolve issues. Works well as part of a team while maintaining accountability for assigned responsibilities.
