Applicant must have excellent telephone and organizational skills with an ability to multi-task and assist as needed.
Job Responsibilities:
Quoting and Procurement:
Review technician's recommendations, project specifications, and requirements to prepare accurate estimates for services and parts. Collaborate with service technicians to assess project needs and provide accurate cost estimates. Gather pricing information from suppliers and manufacturers to ensure competitive and accurate bids. Prepare detailed estimates and proposals for customers, clearly outlining costs and scope of work. Follow up on parts ordered to ensure their timely arrival. Review parts that have arrive to ensure they are free from defects and agree with what was ordered. Return any parts that are not needed, under warranty and need to be replaced, following proper procedures to ensure that we get proper credit for the parts.
Customer Communication:
Communicate with customers to clarify project specifications and answer any questions related to estimates. Coordinate with customers and vendors, as needed. Address customer inquiries and resolve issues in a professional manner.
Coordination and Support:
Collaborate with technicians and dispatch to ensure they have the necessary parts, equipment and information for each work order. Maintain accurate records of request for quotes, estimated arrival of parts, tracking data and quotes provided to customers, billing instructions, and customer communication.
Additional Duties/Responsibilities:
Review completed service reports, work orders, invoices, etc. for accuracy. Establish and maintain relationships with Venders. Data entry to manage service department records. Assist in the development of standard operating procedures for estimating processes. Additional duties as assigned.
Required Skills/Abilities:
Excellent written and oral communication skills. Strong organizational and multitasking skills. Punctual and reliable, with a strong commitment to meeting deadlines and service expectations. Ability to work in a fast-paced environment and handle stressful situations with professionalism. Ability to develop and maintain collaborative working relationships. Ability to work in a drug free environment
Education and Experience:
High school diploma or equivalent; associate degree in HVAC technology, construction management, or a related field preferred. Minimum of 2 years of experience in HVAC estimating, service coordination, or a related field. Strong knowledge of HVAC systems, components, and industry standards. Proficient in service management software and Microsoft Office Suite (Excel, Word, etc.). Excellent analytical skills with attention to detail and accuracy. Strong communication and interpersonal skills. Ability to work independently and as part of a team in a fast-paced environment. Physical Requirements Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 20 pounds at times. Blythe Mechanical Inc is a drug-free workplace.
