Procurement and Travel Support Coordinator

Job Description

Position Summary :
The Procurement and Travel Support Coordinator provides administrative and operational support to the Procurement Specialist in coordinating travel, purchasing, inventory, and vendor-related activities. Primary Duties and Responsibilities (including but not limited to):
Travel Coordination:
  • Provide guidance and instruction to new staff on travel procedures, including travel requests, booking requirements, and applicable policies.
  • Verify staff have the required approvals prior to booking travel arrangements.
  • Coordinate business travel arrangements, including flights and lodging.
  • Assist staff with completing travel and per-diem requests.
  • Process travel changes and cancellations and maintain accurate travel records.
  • Collect trip reports from staff upon completion of travel and assist staff with completing travel reimbursement requests as necessary.
  • Ensure travel arrangements and reimbursements comply with applicable policies, procedures, and reimbursement requirements.
Procurement Support:
  • Coordinate procurement activities from requisition through order completion.
  • Work closely with departments heads to process purchases requests and ensure required documentation is complete.
  • Verify received items match purchase orders, receipts, and packing documentation.
  • Coordinate returns for damaged or incorrect items and assist with resolving disputes related to missing, damaged, or incomplete orders.
  • Enter qualifying purchases into inventory tracking system and maintain accurate records.
  • Working closely with IT and Facilities to tag, track and document the distribution of organizational assets, including computers, cell phones, vehicles, and maintenance equipment.
  • Communicate with suppliers to resolve issues related to deliveries, product quality, pricing, damaged or missing items, and other order discrepancies.
Expense and Reimbursement:
  • Prepare check requests and credit card expense reports for processing.
  • Complete monthly reconciliation of commercial accounts.
  • Review supporting documentation for completeness and accuracy.
  • Assist with timely processing of reimbursements and reconciliation of procurement and travel-related expenses.
Compliance and Vendor Management:
  • Review requisitions and purchase requests for compliance with established procurement policies and procedures.
  • Assist in collecting and maintaining required documentation for new vendor setup.
  • Develop and maintain professional working relationships with vendors and service providers. Additional Duties
  • Pick up and sort mail and packages and deliver received items to appropriate facilities.
  • Pick up orders from Three Bears, Costco, and other vendors as needed.
  • Assist Accounts Payable with delivering vendor payments and Accounts Receivable with making deposits at the bank.
  • Perform other duties as assigned.
Knowledge, Skills, And Abilities Knowledge of general office administration, purchasing, travel coordination, and recordkeeping practices. Knowledge of basic procurement processes and documentation requirements. Knowledge of travel, reimbursement, and per diem procedures. Basic knowledge of inventory tracking and asset management practices. Ability to communicate effectively with staff, leadership, contractors and vendors. Ability to coordinate multiple travel and procurement requests while maintaining accuracy and timeliness. Proficiency with Microsoft Office and computerized maintenance management or work order systems. Work Environment and Physical Requirements Work is primarily performed in an office setting, with regular travel between Knik Tribe facilities and other locations as needed to support procurement, travel, inventory, and administrative activities. Ability to sit, stand, walk, and move throughout office and facility environments for extended periods. Ability to frequently use a computer, telephone, and other standard office equipment. Ability to lift and carry materials, packages, or supplies weighing up to 50 pounds as needed. Ability to bend, reach, stoop, and navigate storage areas or other facility spaces when receiving, inspecting, tagging, or tracking equipment and supplies. Ability to safely enter and exit vehicles and travel between multiple facilities in varying weather conditions.
Minimum Requirements:
  • High school diploma or GED required.
  • Two (2) years of experience in administrative support, procurement, purchasing, travel coordination, accounting support, or related field; or an equivalent combination of education and experience.
  • Valid Alaska driver's license with a satisfactory driving record required.
  • Clean state and federal background check.

Procurement Specialist Schedule:
32 hours per week, 8:00 a.m. - 5:00 p.m., Monday-Thursday or Tuesday-Friday (Position scheduled to begin October 1, 2026)
Salary:
$22.00 - $26.00 per hour DOE/E.
