Alpha Zeta - Palm City / Stuart, Florida Alpha Zeta is an established landscape design and construction company serving Martin County and the surrounding Treasure Coast for more than 40 years. We are seeking an experienced Landscape Sales, Estimating & Purchasing Coordinator to become an integral part of our sales and operations team. This is a key position within our company and requires previous professional landscape/horticultural experience and strong working knowledge of South Florida plants and landscape materials. This is not an entry-level landscape position, and it is not simply an administrative office position. The person we hire must be able to walk onto a customer's property, understand what they are looking at, recognize plants and landscape conditions, discuss realistic solutions with confidence, develop an estimate, follow the opportunity through the sales process, and then help coordinate the materials needed to perform the work. At the same time, this individual must be extremely organized, dependable, detail-oriented, and capable of managing many active opportunities without allowing things to fall through the cracks. The Role Our larger design-build opportunities are primarily handled through our landscape designer. This position will take ownership of a significant portion of our smaller and mid-sized landscape opportunities , including: Landscape enhancements Plant and tree replacements Small landscape renovations Irrigation repairs and improvements Sod projects Cleanup and property improvement work Planting projects Landscape detail work Small installation projects Existing-client enhancement opportunities Other residential and commercial landscape projects that do not require a full design process We generate numerous opportunities that need someone capable of moving them efficiently from inquiry to completed sale. We want a person who can stack up smaller and mid-sized projects, stay on top of every opportunity, and consistently turn leads into revenue. Sales & Customer Responsibilities Meet prospective and existing customers at their properties. Evaluate landscape conditions and understand customer needs. Identify plants, trees, landscape materials, and common South Florida landscape issues. Recommend appropriate landscape solutions based on the property, site conditions, customer objectives, and budget. Measure and document potential projects. Prepare estimates and professional proposals. Present recommendations and pricing confidently to customers. Follow up consistently on outstanding estimates and sales opportunities. Maintain communication with customers throughout the estimating and pre-construction process. Manage numerous smaller and mid-sized opportunities simultaneously. Help determine which opportunities can be handled directly and which should be referred to our landscape designer for a larger design-build process. Look for additional enhancement opportunities with existing customers. Take ownership of opportunities from the initial appointment through the sale. Estimating & Bidding The individual will work closely with company ownership and management while learning and refining Alpha Zeta's estimating and bidding methods.
Responsibilities will include:
Developing accurate scopes of work. Determining labor requirements. Calculating plant and material quantities. Obtaining vendor and subcontractor pricing. Building estimates using company pricing standards. Preparing clear proposals for customers. Reviewing project requirements before proposals are finalized. Maintaining accurate records of open bids and proposals. Following estimates through acceptance or closure rather than allowing opportunities to remain unresolved. Purchasing & Project Preparation Once a project is sold, this position will also help make sure production is prepared to perform the work.
Responsibilities include:
Obtain current pricing from nurseries, suppliers, and vendors. Source plants, trees, sod, irrigation components, and other landscape materials. Create and maintain purchase orders. Confirm material availability before work is scheduled. Coordinate purchasing requirements with our installation manager. Communicate special-order items and lead times. Organize purchasing information by project. Confirm that required materials have been ordered before crews arrive. Assist with scheduling deliveries and material pickups. Help prevent last-minute material problems by staying ahead of upcoming projects. Our experienced production staff will assist with learning Alpha Zeta's specific purchasing and operational procedures, but the person entering this role must already understand the landscape industry. Required Landscape & Horticultural Knowledge Professional landscape or horticultural experience is required for this position. Candidates must have practical working knowledge of: South Florida landscape plants Trees, shrubs, palms, groundcovers, and common ornamental material Basic plant identification Plant sizing and appropriate placement Sun and shade requirements Common landscape installation practices Florida growing conditions Irrigation fundamentals Sod and turf Landscape maintenance and enhancement work Basic plant health and landscape troubleshooting Nursery and landscape materials Experience working with landscape contractors, nurseries, landscape maintenance companies, garden centers, landscape designers, irrigation companies, or similar businesses may qualify. We are willing to train someone on Alpha Zeta's systems and specific estimating procedures. We are not looking to train someone from the beginning on South Florida landscaping and horticulture. What Success Looks Like The basic workflow for this position is: Lead → Appointment → Evaluate → Estimate → Follow Up → Close → Purchase → Prepare → Hand Off to Production A successful person in this role will know where every opportunity stands and what needs to happen next. Customers should receive timely communication. Estimates should not disappear into a pile. Follow-ups should happen without management having to ask. Materials should be identified and ordered before crews need them. Production should receive organized information. And sales opportunities should be actively pursued until they are either won or definitively closed.
