Position Summary We are seeking a highly organized and detail-oriented Asset & Material Management Coordinator to support daily procurement operations and invoice processing. This role is responsible for purchasing materials and supplies using approved company purchasing methods, processing and approving purchase orders, tracking order status, maintaining accurate procurement records, and coordinating with internal stakeholders and vendors to ensure timely delivery of materials. The ideal candidate will possess strong organizational skills, excellent communication, and the ability to manage multiple priorities in a fast-paced environment. Job Responsibilities Process purchase requests and place orders using approved company purchasing cards and business purchasing accounts. Review, process, and support invoice processing activities to ensure timely and accurate payment. Create, review, and approve purchase orders in accordance with company procurement policies. Track purchase orders from placement through delivery and proactively communicate order status, expected arrival dates, and any delays to stakeholders. Maintain accurate purchasing records, invoices, receipts, order confirmations, and supporting documentation. Coordinate with vendors regarding order status, pricing, shipping updates, and issue resolution. Ensure procurement activities comply with company policies and internal controls. Assist with procurement reporting, spend tracking, and documentation for audits. Support asset and materials management by coordinating purchases and maintaining procurement records. Collaborate with cross-functional teams including Warehouse Operations, Finance, Accounts Payable, and business partners to support operational needs. Identify opportunities to improve procurement processes and increase efficiency. Perform other procurement and administrative duties as assigned. Job Requirements High school diploma or equivalent required; Associate's or Bachelor's degree in Supply Chain, Business Administration, or a related field preferred. 1+ years of experience in procurement, warehouse, supply chain, inventory counting, or preferred related administrative role. Experience processing purchase orders and invoices. Familiarity with company purchasing cards and business purchasing accounts. Strong attention to detail with excellent organizational and recordkeeping skills. Ability to manage multiple priorities while meeting deadlines. Strong written and verbal communication skills. Proficient in Microsoft Office, particularly Excel. Experience with ERP systems (SAP, Oracle, NetSuite, or similar) preferred. Ability to work independently while collaborating effectively with cross-functional teams. Bilingual Mandarin/English is a plus. Preferred Qualifications Experience supporting procurement or warehouse operations. Knowledge of purchasing policies and invoice reconciliation. Experience tracking vendor performance and order fulfillment. Strong analytical and problem-solving skills.
