Employees First Labor Law

Vice President of Operations

Job Description

Vice President of Operations Employees First Labor Law - 4.0 Pasadena, CA Job Details Full-time $105,373.80 - $144,966.30 a year 3 hours ago Benefits Disability insurance Health insurance Dental insurance 401(k) Paid time off Vision insurance Professional development assistance Life insurance Qualifications Spanish Team supervision Expense management Performance Reporting Metrics Reporting Law office experience Management reporting Legal case management Business operations Senior leadership Full Job Description About us Employees First Labor Law (EFLL) represents workers, and only workers. No employers. No compromises. We handle employment and workers' compensation matters — discrimination, wrongful termination, retaliation, wage-and-hour, harassment, disability, and leave rights — on contingency: no fee unless we win. Our clients come to us at the hardest point of their working lives, and we treat them like family. We work out of our Pasadena headquarters with offices in Irvine, Long Beach, Pomona, Riverside, Bakersfield, and Fresno. Why this role exists Our caseload has outgrown the systems we built to manage it. We're looking for the operator who will build the machine that lets our attorneys practice law instead of chasing paper. You'll report directly to the CEO and Managing Partner, own the operating side of the firm, and be developed toward the Chief Operating Officer role. What you'll own Case management. The full case lifecycle as an operating process — intake, case vetting, retainer, litigation workflow, resolution — with accountability for cycle time, matter aging, and docket health at every stage. Attorney and litigation-support productivity. Build the capacity model for the firm: how much work of which type each attorney, paralegal, case manager, and litigation-support professional can carry well — then staff to it across all seven offices. Remove non-legal work from attorneys wherever it doesn't require a law license. Systems and reporting. Own the operational tech stack — case management platform, document automation, e-signature, intake routing — and build management reporting from scratch, so leadership can see intake conversion, matters per FTE, cycle time, and resolution values by practice area and office. Financial operations. Partner with the CEO on budget, expense management, and vendor contracts, and bring rigor to contingency economics: advanced case costs, cost recovery, and settlement disbursement workflow. People and multi-office leadership. Lead the non-attorney organization through supervisors and managers — case management, litigation support, intake, and administration — including hiring, onboarding, training, and performance. What we're looking for 5+ years of operations leadership, including experience managing supervisors or team leads A track record of building operating systems, not just running them — you've taken a function that ran on tribal knowledge and given it process, metrics, and accountability Experience leading a workflow-intensive, deadline-driven service operation where files move through stages and missing a date has consequences Comfort using data as a management tool — you build the reporting, read it, and act on it Budget ownership experience The ability to influence senior professionals who don't report to you Willingness to work on-site in Pasadena, with regular travel to our other California offices Nice to have Law firm operations experience, especially plaintiff-side Familiarity with legal case management platforms (Filevine, Litify, SmartAdvocate, Clio, Needles) Knowledge of California employment law or workers' compensation practice Multi-site operations experience Professional Spanish fluency We don't require prior law firm experience. We'd rather hire an exceptional operator who has to learn the legal domain than an average one who already knows it. Being straight with you about the job You're building, not inheriting — there's no mature ops function or reporting layer waiting for you. Attorneys aren't your direct reports, so changing how they work takes evidence and patience. Seven offices is genuinely hard. If that sounds like the problem you want, we'd like to meet you.
