Position Overview The Contract Administrator will aid the Contracts Manager by overseeing and managing the entire process surrounding construction projects. This includes but is not limited to managing bids, contracts and maintaining construction project records, and financial accounting duties. Key Responsibilities (Essential Duties & Functions) In the office 5 days per week, providing day-to-day coordination and support for estimating and contract operations. Oversee the bidding processes from initial bid reviews through final bid submissions, ensuring deadlines, requirements, and deliverables are met. Manage bidding documents and prepare complete bid packets, including reviewing project requirements, identifying required documentation, incorporating specifications and obtaining signatures and approvals as needed. Review professional documents such as contracts and bid packets for accuracy and completeness prior to submission. Maintain and coordinate all bid runners to ensure bid delivery to the appropriate location within required timeframes. Maintain all documents and records pertaining to the bidding and construction contract process in a manner that complies with record-keeping best practices. This includes monitoring bid opportunities frequently for addendums, revisions or other updates, maintain SalesForce, communicating with town officials, etc. Prepare various contract-related documents, including contracts, bonds, certificates of insurance and other post-bid documentation related to job setups, as required. Review and process project invoicing; reviewing quantities, verifying subcontractor quantities and payments, reviewing projects profit and losses and various other reports for accuracy. Maintain bid calendars, trackers, and other various spreadsheets to provide visibility into upcoming and active bidding opportunities, daily crew tonnage tracking, police details, etc. Various other duties as assigned or required by the Contracts Manager. Skills & Specifications High attention to details and able to be multi-functional and tasks related to Basic accounting and financial knowledge Display a professional and courteous attitude to co-workers, supervisors, and public always. Ability to interact with sub-contractors, other employees, state resident engineers and different levels of management. Good working knowledge of Microsoft Office Suite (Outlook, Excel, Word, PowerPoint). Developed analytical and problem-solving abilities Comfortable working with several different computer software and programs. Self-motivation and ability to work with minimal supervision. Must be able to work in a fast-paced environment in a team-orientated atmosphere. Priority emphasis and strong time management skills. Education/Professional Experience Previous construction, contracts, loan processing or underwriting experience preferred, but not required.
