Job Description

Job Overview We are seeking a dynamic and highly organized Office Manager/Dispatcher to lead our administrative operations and coordinate daily workflows efficiently. In this vital role, you will oversee office functions, manage scheduling, handle vendor relationships, and ensure seamless communication across teams. Your proactive approach will help foster a productive environment, support team success, and uphold the highest standards of confidentiality and professionalism. Responsibilities Manage daily office operations, including front desk duties, multi-line phone systems, and calendar management for staff and leadership. Coordinate dispatching activities by scheduling appointments, deliveries, and service calls with precision and timeliness. Oversee vendor management processes, including negotiations, procurement, and maintaining strong relationships to ensure quality service delivery. Supervise administrative staff, providing training and development opportunities to foster a motivated and efficient team. Handle bookkeeping tasks such as invoicing, filing financial records, payroll processing using QuickBooks or similar software, and maintaining accurate spreadsheets. Support human resources functions including onboarding new employees, managing confidential information, and assisting with employee records. Assist with budgeting efforts by monitoring expenses, preparing reports, and ensuring cost-effective operations. Maintain organized filing systems for all administrative documents while ensuring compliance with confidentiality standards. Provide exceptional customer service by addressing client inquiries professionally via phone or email while maintaining excellent communication skills. Experience Proven office management experience with strong organizational skills and attention to detail. Supervising experience in a fast-paced environment is highly preferred. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with experience using accounting software such as QuickBooks or similar financial tools. Familiarity with bookkeeping, payroll processing, budgeting, and financial recordkeeping is essential. Experience in event planning or coordinating meetings is a plus. Strong communication skills with the ability to handle multiple priorities effectively while maintaining professionalism. Knowledge of vendor management practices and human resources procedures is advantageous. Previous clerical experience involving filing systems, front desk responsibilities, multi-line phone systems, and calendar management will support success in this role. Service Titan experience is helpful but not required
Pay:
$25.00 - $28.00 per hour Expected hours: 40.0 - 50.0 per week
