The Dispatcher serves as the central communication point between Project Management, Field Supervision, Foremen, drivers, equipment operators, mechanics, customers, and other operational personnel. The primary objective of the Dispatcher is to ensure that the right crew, with the right equipment and materials, arrives at the right project at the right time. The Dispatcher is responsible for maximizing daily field productivity, minimizing downtime, maintaining accurate schedules, responding quickly to changing field conditions, and providing management with accurate operational information. Essential Responsibilities Daily Dispatch & Scheduling Develop and maintain the daily and short-term schedule for field crews, equipment, trucks, and materials. Assign crews and equipment via company scheduling app based on project priorities, required skills, production requirements, location, and availability. Coordinate daily start times, mobilizations, demobilizations, and crew movements. Maintain visibility of all active crews and equipment throughout the workday. Adjust schedules in response to weather, jobsite conditions, customer requests, breakdowns, material availability, and changing priorities. Minimize unnecessary travel, idle time, mobilization costs, and equipment downtime. Coordinate emergency and same-day service requests. Communicate schedule changes promptly to affected personnel. Crew Coordination Maintain an accurate roster of available employees, crews, classifications, skills, and availability. Coordinate manpower in accordance with applicable union requirements and company policies. Confirm that crews have the appropriate manpower and qualifications for scheduled work. Track employee call-offs, absences, overtime, schedule changes, and other staffing issues. Communicate staffing shortages to Operations Management promptly. Maintain accurate records of crew assignments. Equipment & Fleet Coordination Maintain daily visibility of company equipment, trucks, trailers, and other mobile assets. Coordinate equipment assignments based on project requirements. Track equipment location and utilization. Coordinate equipment transfers between jobs. Communicate equipment breakdowns and maintenance needs to the appropriate personnel. Coordinate with the shop/mechanics regarding equipment availability. Minimize equipment sitting idle while projects require productive equipment elsewhere. Assist management in identifying underutilized or unnecessary equipment. Materials & Supply Coordination Coordinate delivery and availability of materials required for scheduled work. Communicate material requirements to purchasing, yard personnel, vendors, and field crews. Confirm that materials are available before crews are dispatched. Coordinate delivery of erosion control materials, seed, mulch, tackifiers, BMP materials, fuel, and other project requirements. Identify material shortages or delivery delays before they affect field production. Communication Serve as the central operational communication hub between: Project Managers Operations Management Field Superintendents Foremen Drivers Equipment Operators Shop/Mechanics Purchasing Customers Maintain professional and timely communication throughout the day. Relay changes in project priorities and instructions accurately. Escalate operational problems that cannot be resolved through normal dispatch procedures. Maintain accurate records of significant schedule changes and operational issues. Daily Production Support Obtain and maintain daily crew assignments. Track work performed by each crew. Monitor job progress against the planned schedule. Identify crews that are ahead of or behind schedule. Communicate production issues to the appropriate Project Manager or Operations Manager. Help identify opportunities to combine mobilizations, move crews efficiently, and increase production. Track weather and other conditions that may affect daily operations. Coordinate recovery plans when work falls behind schedule. Timekeeping & Documentation Ensure daily crew assignments and field movements are accurately documented. Review timekeeping information for obvious errors or discrepancies. Coordinate with supervisors regarding missing or incorrect time records. Support compliance with company timekeeping procedures and applicable union requirements. Maintain accurate dispatch records. Provide information required for payroll, billing, job costing, and project reporting. Customer Service Respond professionally to customer requests regarding crew arrival times, scheduling, and field service. Coordinate customer-requested schedule changes with the appropriate Project Manager. Provide accurate information without making unauthorized commitments regarding scope, pricing, or contractual obligations. Escalate customer complaints and significant service issues immediately. Safety & Compliance Follow company safety procedures. Never knowingly dispatch employees or equipment in a manner that violates company safety requirements, applicable law, or union requirements. Communicate safety-related information and jobsite restrictions to field personnel. Immediately escalate accidents, injuries, unsafe conditions, or significant equipment issues. Assist management with emergency response and operational coordination. Project Management and Field Operations Qualifications Required:
2+ years of dispatch, construction coordination, logistics, fleet coordination, or similar experience. Strong organizational and multitasking skills. Ability to work in a fast-paced environment where priorities change throughout the day. Strong verbal and written communication skills. Spanish bilingual. Strong geographic knowledge of the company's operating territory. Ability to use computers, phones, scheduling systems, GPS/fleet systems, and Microsoft Office. Ability to communicate effectively with field employees, management, customers, and vendors.
Preferred:
Construction dispatch experience. Erosion control, landscaping, civil construction, grading, environmental construction, or trucking experience. Experience in a union construction environment. Knowledge of construction equipment and field operations. Experience with construction scheduling or fleet-management software and NetSuite ERP software. Work Schedule The Dispatcher must be available during the company's established operating hours and may be required to begin work early enough to coordinate daily crew mobilization. Because construction operations are affected by weather, equipment failures, customer demands, and other unforeseen conditions, occasional extended hours may be required. Physical & Work Requirements Primarily office-based with regular interaction with field personnel. Ability to work in a high-volume, time-sensitive environment. Occasional travel to project sites, yards, or other company facilities. Ability to communicate effectively by telephone, radio, computer, and in person.

President Works Closely With:
Project Managers, Superintendents, Foremen, Shop/Mechanics, Purchasing, Accounting, and Executive Management. Position Authority The Dispatcher has authority to make routine daily scheduling and deployment decisions within established company priorities and procedures. The Dispatcher does not have authority to change contractual scope, approve pricing, authorize significant unbudgeted expenditures, commit the company to additional work, or override Project Manager/Operations Management decisions without authorization.
