DISPATCH MANAGER

Ideal Candidate:

We are seeking an experienced Dispatcher Manager to lead daily dispatch and scheduling operations across Santmyer's service territory. This is a hands-on leadership role for someone who can balance customer commitments, product availability, driver qualifications, equipment capacity, safety requirements, and operating cost in a fast-paced environment. You will supervise and develop dispatch personnel, establish a consistent operating rhythm, improve communication between shifts and departments, and step in decisively when weather, supply, staffing, equipment, or customer issues disrupt the plan. Responsibilities Lead day-to-day dispatching and delivery scheduling for fuels, propane, DEF, lubricants, and other assigned products or services. Supervise, coach, schedule, and develop dispatch coordinators and other assigned team members; set clear expectations and address performance concerns promptly and consistently. Prioritize work based on customer urgency, delivery windows, monitored-tank status, product availability, driver qualifications, hours-of-service limits, equipment capability, route efficiency, and profitability. Run effective dispatch huddles and shift handoffs so drivers, terminals, bulk plants, Customer Service, and operating leaders have accurate, timely information. Monitor late deliveries, run-out risks, rejected loads, product shortages, equipment breakdowns, and other exceptions; escalate early and lead practical recovery plans. Develop capacity plans and optimize routes, loads, terminal selection, driver assignments, and equipment use across Santmyer locations to reduce empty miles, overtime, detention, and avoidable outside freight. Partner with Safety, Fleet Maintenance, Supply, Operations, Sales, Customer Service, Billing, Finance, and Human Resources to keep work safe, compliant, efficient, and customer-focused. Ensure orders are accurately entered, assigned, communicated, completed, and closed with the documentation needed for billing and performance reporting. Use dispatch, ERP, telematics, routing, tank-monitoring, and Microsoft 365 tools to improve visibility and track key service, safety, productivity, utilization, and cost measures. Coordinate after-hours, weekend, severe-weather, and emergency coverage as operational needs require. Dispatch priorities, shift handoffs, and escalation paths are clear and consistently followed. Customers receive safe, reliable, on-time service and exceptions are communicated early. Lead team with improving route productivity, fleet utilization, documentation quality, and controllable costs while employees receive clear expectations, coaching, and cross-training. Recurring operational problems are identified, solved at the root cause, and converted into better standard processes. Safety and Compliance Leadership Reinforce a proactive safety culture and follow applicable DOT, FMCSA, OSHA, PHMSA, EPA, state, local, and company requirements. Assign only properly qualified, trained, licensed, and terminal-carded drivers to the work, products, equipment, and locations for which they are approved. Monitor hours of service, vehicle inspections, loading and unloading practices, product compatibility, documentation, incidents, and near misses; pause or redirect work when risk is unacceptable.

Requirements:

Five or more years of progressively responsible experience in transportation, logistics, dispatch, distribution, or fleet operations. Three or more years of leadership experience with responsibility for employees, schedules, performance expectations, and operational results. Working knowledge of DOT-regulated transportation, driver hours of service, vehicle inspections, hazardous-materials documentation, and safe loading and unloading principles. Demonstrated ability to manage high-volume, time-sensitive operations with changing priorities and after-hours escalation needs. Strong judgment, communication, conflict-resolution, analytical, and customer-service skills. Experience using dispatch, ERP, telematics, routing, tank-monitoring, spreadsheet, and Microsoft 365 tools, with the ability to learn and connect multiple systems. Valid driver's license and ability to travel among company and customer locations as business needs require. Preferred Qualifications Experience in petroleum, propane, hazardous-materials, bulk distribution, or multi-location dispatch operations. Bachelor's degree in logistics, supply chain, business, transportation, operations management, or a related field; equivalent relevant experience will be considered. Experience with fuel terminals, bulk plants, inventory controls, mixed fleets, EOS, Lean, continuous improvement, or structured root-cause analysis. Commercial driver's license or prior commercial driving or terminal-loading experience is helpful but not required. Work Environment Work is performed in office, The role requires frequent computer and telephone use, prolonged sitting, walking through operating locations, occasional lifting or carrying of materials up to 25 pounds, and availability for urgent operational issues outside normal business hours on a rotating or as-needed basis. Required personal protective equipment and site-specific safety rules must be followed.
