Job Description

Position Summary World Wide Stereo is seeking a highly organized, detail-oriented Dispatcher / Administrative Coordinator to support our growing Custom Installation and Electrical operations. This position will be responsible for coordinating and dispatching Audio/Video (A/V) Technicians to installation projects, service appointments, troubleshooting calls, and other field assignments. The Dispatcher / Administrative Coordinator will serve as a key communication point between the field technicians, customers, project managers, service teams, and management. The ideal candidate is an excellent communicator who can manage multiple priorities, adjust quickly to changing schedules, and ensure our technicians are in the right place, at the right time, with the information and equipment they need to successfully complete their work. In addition to dispatching responsibilities, this position will provide administrative and operational support to the Custom Installation and Electrical departments. Essential Responsibilities Schedule and dispatch A/V Technicians to installations, service calls, troubleshooting appointments, and other field assignments. Maintain and manage daily and weekly technician schedules. Coordinate technician availability based on project requirements, skill sets, location, and workload. Communicate schedule changes, cancellations, delays, and urgent service needs to technicians and appropriate internal teams. Monitor technician schedules throughout the day and make adjustments as needed. Coordinate with Project Managers, Service, Sales, Warehouse, and Installation teams to ensure jobs are properly scheduled and supported. Confirm technicians have the necessary job information, materials, equipment, and instructions prior to dispatch. Identify scheduling conflicts or resource constraints and escalate issues to the Custom Installation & Electrical Operations Manager. SmartCare Warranty Program Management Own and manage the World Wide Stereo SmartCare Program, serving as the primary administrative point of contact for SmartCare warranty service. Manage the intake, scheduling, tracking, and completion of SmartCare service requests. Coordinate SmartCare service appointments with customers, technicians, Project Managers, and other internal departments. Monitor open SmartCare service requests and proactively follow up to ensure issues are resolved within appropriate timeframes. Coordinate technician dispatch for SmartCare warranty calls and ensure technicians have the necessary information before arriving on-site. Communicate with customers regarding appointment scheduling, service updates, and follow-up requirements. Track recurring or unresolved SmartCare issues and escalate concerns to the appropriate manager. Help identify trends, recurring service issues, and opportunities to improve the SmartCare customer experience. Provide regular updates to the Custom Installation & Electrical Operations Manager regarding SmartCare activity, outstanding service requests, and program performance. Administrative Support Provide day-to-day administrative support to the Custom Installation and Electrical Operations Manager. Provide administrative support to the Technical Services Team, as needed. Assist with timekeeping and review technician hours and schedules for accuracy before submission, as directed. Help identify opportunities to improve technician scheduling, dispatching, communication, and administrative processes. Maintain confidentiality regarding employee, customer, project, and company information. Communication & Customer Service Serve as a professional point of contact for technicians and internal departments regarding scheduling and dispatch. Communicate professionally with customers when scheduling or confirming service appointments. Provide timely updates when appointments or technician schedules change. Work closely with management to resolve scheduling issues and customer concerns. Qualifications 2+ years of experience in dispatching, scheduling, coordination, administration, customer service, or a related field preferred. Experience working in an A/V, electrical, construction, service, installation, or other field-service environment is a plus. Strong organizational and time-management skills. Excellent verbal and written communication skills. Ability to effectively manage multiple priorities in a fast-paced environment. Strong attention to detail and accuracy. Ability to remain calm and organized when schedules change or unexpected issues arise. Comfortable communicating with field technicians, management, customers, and other departments. Strong computer skills and proficiency with Microsoft Office, Outlook, Excel, and other business systems. Ability to learn and effectively use scheduling, project management, and company-specific software. Ability to work independently while also functioning as part of a team. Why Join World Wide Stereo?
