Commercial HVAC/R Why Nova Facility Solutions? At Nova Facility Solutions, dispatch is not an administrative position sitting behind the operation. Dispatch is the operation. You are the person connecting the client, the technician, the parts, the schedule, the money, and the solution—and making sure nothing gets lost between the first phone call and the final closeout. Nova is building something bigger than a service company. Our purpose is to lead, guide, and develop our people toward their apex, while creating exceptional experiences and building a tribe of 100 A-players. That means we want people who take ownership, want to grow, and understand that exceptional performance is built through hundreds of small commitments kept every day. Our culture is grounded in Integrity, Respect, Teamwork, Growth, and Grit. Those values show up when you tell a client you'll call back and actually do it. They show up when a technician needs help at 4:30 PM and the team works together instead of pointing fingers. They show up when something goes wrong, and instead of making excuses, you find the next best move and solve it. This role is for someone who gets satisfaction from bringing order to complexity. Someone who can look at a full service board, multiple technicians, open quotes, backordered materials, client emergencies, NTE limits, and changing priorities—and calmly determine what should happen next. At Nova, we don't want reactive dispatchers who spend the day putting out fires. We want proactive operators who plan ahead, protect technician time, anticipate obstacles, communicate before clients have to ask, and finish every call completely.
The goal is simple:
solve the client's problem while protecting the productivity and profitability of the operation. You won't just be moving colored boxes around a dispatch board. You'll be helping build a high- performance commercial service organization—and you'll have a direct impact on the experience our clients receive and the careers our technicians are building. Your Impact on Clients & the Operation Commercial HVAC/R downtime has real consequences. A system failure can interrupt an office, retail operation, industrial facility, healthcare environment, restaurant, or managed property. The client doesn't care that the day got busy—they need someone to own the problem. Your job is to make sure the right technician gets to the right call with the right information, skills, parts, purchase orders, and available labor hours. That means dispatching geographically smart, matching technician capability to the work, coordinating materials close to the job, minimizing unnecessary windshield time, and managing available hours against the NTE or quoted amount. When you do this well, clients get answers faster, technicians produce more, calls close cleaner, gross margin improves, and Nova earns the next opportunity. Growth, Performance & Rewards Nova believes strong performers should see a direct connection between the value they create and the opportunity available to them. A solid performer earning $35/hour produces approximately $72,800 annually, while a top performer at $40/hour earns $83,200 in base compensation plus performance commissions. The dispatcher incentive is tied to the financial health of the service operation—not meaningless activity metrics. Dispatchers can earn up to 1% of closed service revenue, based on three performance requirements: Maintain at least 50% gross margin Achieve $185/hour or better KPI performance Achieve the monthly team revenue target Meeting one requirement earns 0.33% of qualifying service revenue, two earns 0.66%, and all three earns the full 1%. That structure reflects how we view dispatch: this position helps drive revenue, productivity, gross margin, client retention, and technician performance. Learn the operation, master the numbers, become exceptional at allocating resources, and this role can become a foundation for broader operational leadership. What You'll Do Dispatch commercial HVAC/R technicians throughout the day, continuously adjusting the schedule as calls finish, emergencies arise, priorities shift, and new opportunities enter the board. Own incoming phone communication with commercial clients—understand the problem, establish urgency, set expectations, document accurately, and keep clients informed. Build, complete, and communicate quotes quickly so approved work does not sit idle and revenue opportunities do not disappear into a follow-up list. Order and coordinate service materials, ensuring technicians have the correct parts available at strategically located suppliers near the work whenever possible. Issue and manage purchase orders accurately, connecting material purchases, vendor documentation, work orders, and customer billing requirements. Allocate resources intelligently by matching technician talent to equipment and call complexity, grouping work geographically, minimizing windshield time, and protecting productive hours. Own backordered-parts planning by tracking open materials, communicating ETA changes, scheduling return work proactively, and preventing completed diagnostics from becoming forgottenopportunities. Close service calls live whenever possible, verifying notes, pictures, labor, materials, quoted work, purchase orders, client communication, invoicing status, and next actions before the technicianmoves on. Manage the scoreboard, including gross margin, dollars per technician hour, team revenue, callcompletion, quote activity, utilization, and other service KPIs that show whether the operation is winning. What You Need to Succeed Experience in commercial HVAC/R dispatch, service coordination, facilities service, or a similar high-volume field-service environment strongly preferred. Strong phone presence and the ability to communicate clearly with technicians, customers, vendors, managers, and facility decision-makers. Excellent organizational skills with the ability to manage technicians, calls, quotes, parts, POs, backorders, and changing priorities simultaneously. Working understanding of service profitability, including technician utilization, labor hours, NTE limits, gross margin, revenue, and productive versus nonproductive time. A proactive mindset—you anticipate problems, build plans, and follow through instead of waiting for the next emergency. Strong attention to detail and a commitment to doing the closeout right the first time, not creating a pile of unfinished work for later. Emotional control, adaptability, accountability, and the judgment to make good decisions when the board gets busy. Alignment with Nova's culture of Integrity, Respect, Teamwork, Growth, and Grit. Ready to Run the Board? If you see dispatch as more than answering phones—and you want responsibility for helping technicians win, clients get solutions, and a commercial service operation perform at a higher level—we want to meet you. Apply to Nova Facility Solutions and help us build an exceptional experience, one properly executed service call at a time.
