Job Description

Position Overview We are seeking an experienced Office Manager - Freight & Dispatch Operations to provide leadership, structure, and day-to-day oversight to our dispatch operation. This is a hands-on leadership position designed for an experienced freight logistics professional who can see beyond the immediate task, identify operational issues, develop solutions, and help a team execute consistently. The Office Manager will oversee and support the dispatch team while working closely with customer service, warehouse personnel, drivers, and company leadership. This individual will be responsible for improving workflow, identifying and correcting errors, training employees, monitoring performance, and helping maximize the efficiency and accuracy of daily operations. The successful candidate will have previous dispatch and freight logistics experience , demonstrated problem-solving ability, strong professional judgment, and the confidence to make decisions in a fast-moving environment. Key Responsibilities Provide daily leadership, direction, and support to the dispatch team. Coordinate dispatcher workload and ensure responsibilities are appropriately prioritized and completed. Monitor daily dispatch activity for accuracy, efficiency, service quality, and adherence to established procedures. Identify operational errors, recurring issues, service failures, and process gaps before they become larger problems. Investigate problems to determine root causes and implement practical corrective actions. Review routing, scheduling, workload, and dispatch practices to identify opportunities to improve efficiency. Train, coach, and develop dispatch employees on company procedures, systems, customer requirements, and operational expectations. Assist with onboarding and training new dispatch team members. Establish accountability and follow up when processes or expectations are not being met. Develop and maintain clear, consistent dispatch procedures and workflows. Track operational performance and prepare reports for company leadership. Identify trends in errors, service issues, productivity, and workflow and recommend improvements. Facilitate effective communication between dispatch, customer service, warehouse personnel, drivers, and management. Assist with resolving escalated customer, driver, routing, scheduling, and freight-related issues. Ensure customer-specific instructions and special handling requirements are properly communicated and executed. Help balance workload and available resources to maximize productivity while maintaining service standards. Support continuous improvement initiatives as the company grows and operational needs evolve. Maintain a professional, organized, accountable, and solutions-focused office environment.
Qualifications Required:
Previous dispatch experience within freight, transportation, trucking, logistics, or a closely related industry . Strong understanding of freight movement, routing, scheduling, driver coordination, and time-sensitive transportation operations. Demonstrated experience solving operational problems and making sound decisions with limited supervision. Strong critical-thinking skills with the ability to recognize problems, determine root causes, and develop effective solutions. Experience training, coaching, or providing direction to other employees. Strong organizational skills and the ability to manage multiple priorities simultaneously. Excellent written and verbal communication skills. Strong attention to detail and commitment to accuracy. Comfortable working with transportation management systems, dispatch software, email, spreadsheets, and other business technology. Ability to remain composed and make effective decisions when priorities change or operational challenges arise. Ability and willingness to work a flexible schedule based on operational needs. Shift times may vary to provide appropriate leadership and coverage across the operation.
Preferred:
Previous experience supervising or leading a dispatch, transportation, or logistics team. Experience with local or regional freight distribution, final-mile delivery, air freight, or freight-forwarding operations. Experience developing procedures, monitoring KPIs, preparing operational reports, or implementing process improvements. What We Are Looking For This position requires more than someone who can simply manage a schedule or assign work. We are looking for an individual who naturally asks why something happened, how it can be prevented, and what can be improved. The right candidate will be able to recognize inefficiencies, hold employees accountable to established processes, train and develop a team, and bring potential solutions to leadership—not simply report problems after they occur. Success in this position requires a combination of freight knowledge, leadership, accountability, critical thinking, and operational awareness. Schedule & Work Environment This is a full-time, on-site leadership position working directly with our dispatch and operations teams. The schedule for this position is not a permanently fixed shift. Working hours will vary based on operational needs, staffing, workload, and the level of leadership coverage required throughout the operation. Candidates must have the flexibility to adjust their schedule when business needs require it. The role operates in a fast-paced freight environment where priorities can change throughout the day based on customer requirements, driver availability, inbound freight, and other operational conditions. The Office Manager must be comfortable balancing immediate operational needs with the longer-term responsibility of improving processes and developing the dispatch team. Compensation $28.00 per hour
