POSITION OVERVIEW
The Facilities Specialist helps maintain company property and assigned owner property in a clean, safe, secure, organized, professional, and ready-to-use condition. This includes buildings, office spaces, grounds, parking lots, landscaping, exterior areas, equipment, supplies, company vehicles, storage areas, and assigned owner-related properties or projects. This role supports routine facilities maintenance, light janitorial needs, minor repairs, vendor and landscape coordination, office supplies and inventory, company assets and workstations, vehicle maintenance, storage organization, company events, and light safety and security needs. The ideal candidate is dependable, proactive, detail-oriented, comfortable with physical work, and motivated to see projects through to completion.
KEY RESPONSIBILITIES
▪ Property & Facilities Maintenance o Maintain company property and assigned owner property, including buildings, offices, common areas, parking lots, grounds, landscaping, exterior areas, storage areas, vehicles, equipment, and assigned spaces. o Complete routine maintenance, minor repairs, basic handyman tasks, furniture moves and assembly, office furniture maintenance, and general upkeep. o Perform light janitorial duties as needed, including cleanliness checks, trash and clutter removal, refrigerator cleanout, restocking supplies, and resetting common areas. o Monitor parking lots, walkways, entrances, exits, exterior areas, and grounds for snow, ice, water pooling, debris, storm damage, drainage issues, trip hazards, and other weather-related concerns. o Perform or coordinate snow and ice response, exterior cleanup, and seasonal readiness as assigned. ▪ Vendor, Landscaping & Vehicle Coordination o Coordinate owner property maintenance and vendor services professionally and discreetly, including identifying needs, scheduling vendors, coordinating access, tracking follow-up, documenting completed work, and reporting issues to management. o Coordinate landscape-related maintenance, communicate with landscapers, monitor grounds, identify irrigation or plant-health concerns, and report incomplete or substandard work. o Coordinate and verify work performed by contractors, subcontractors, landscapers, and vendors. o Support company vehicle upkeep by monitoring vehicle condition, coordinating service or repairs as assigned, tracking maintenance needs, and promptly reporting concerns. ▪ Supplies, Assets & Workstations o Order, organize, inventory, and restock office supplies, janitorial supplies, breakroom supplies, facilities materials, and routine-use items. o Support company asset management by tracking, organizing, labeling, moving, and maintaining monitors, desks, chairs, docking stations, cables, office furniture, supplies, and other physical assets. o Assist with workstation setup for new employees and workspace cleanup after employee departures. o Keep office storage areas and storage units clean, labeled, organized, inventoried, accessible, and safe. ▪ Safety, Security & Company Events o Assist with company events, including setup, takedown, furniture movement, supply readiness, equipment coordination, parking and exterior readiness, light safety/security support, and cleanup. o Support light safety and security needs for employees, visitors, vendors, buildings, equipment, company property, and assigned owner property, including monitoring assigned camera footage, checking access points, reporting concerns, and documenting incidents when needed. o Assist with employee separation or other security-sensitive situations when requested, including escorting individuals from the building, supporting the return of company property, and documenting factual observations. ▪ Task Tracking & Communication o Maintain organized records related to vendors, maintenance items, landscape coordination, company assets, owner property maintenance, vehicles, supplies, inventory, storage areas, and assigned projects. o Track facilities issues, assigned tasks, vendor follow-up, maintenance items, inventory needs, landscape coordination, asset management, owner property maintenance, vehicle maintenance, and project updates in Ninety or another company-approved task-tracking system. o Communicate blockers, urgent concerns, safety or security issues, supply needs, vehicle concerns, vendor issues, property needs, landscape concerns, and general maintenance needs promptly to management. o Complete other projects and duties as assigned.
QUALIFICATIONS
▪ Valid driver's license ▪ Basic handyman skills or related maintenance experience ▪ Comfort using basic tools and performing routine repairs or minor maintenance tasks ▪ Basic business software and computer skills ▪ Ability to use a task-tracking system consistently and maintain clear records and documentation ▪ Ability to set up basic office workstations, monitors, and equipment ▪ Ability to follow written instructions, checklists, recurring schedules, and priority direction ▪ Ability to communicate clearly with management, employees, vendors, contractors, landscapers, and service providers ▪ Ability to work independently while also being a dependable team player ▪ Ability to maintain confidentiality and professionalism in safety, security, employee-related, vendor-related, company property, and owner property matters ▪ Ability to work indoors and outdoors in varying weather conditions ▪ Ability to identify problems, document them, and escalate concerns appropriately
PHYSICAL REQUIREMENTS
▪ Must be able to lift more than 50 pounds ▪ Must be able to stand, walk, bend, reach, climb, carry, push, pull, and move items as needed ▪ Must be able to work indoors and outdoors in varying weather conditions ▪ Must be able to safely move furniture, supplies, equipment, tools, and boxes ▪ Must be able to use basic hand tools and facilities equipment safely As part of our hiring process, we conduct pre-employment background checks on final candidates.
