Competitive W2 hourly rate ($23-25 per hour), plus access to healthcare and dental insurance plans of choice (benefit plan details available upon request) Summary Chamberlain Advisors is seeking a Front Desk & Facilities Coordinator to support the day-to-day operations of its Deer Park headquarters while assisting with office supply and facilities coordination across multiple locations. This position will serve as the primary point of contact for visitors, incoming calls, deliveries, and general front-office needs while also taking ownership of office supplies, inventory, common-area upkeep, facilities requests, and general administrative support. The ideal candidate is warm, organized, detail-oriented, and highly self-directed. This role is best suited for someone who takes pride in maintaining a welcoming and well-organized office, notices what needs to be done without waiting for direction and is comfortable balancing routine responsibilities with occasional administrative projects. Click Now to Apply! What You Will Be Accountable For Serve as the primary front-desk contact for visitors, callers, deliveries, and packages. Professionally greet and assist guests while creating a warm and welcoming office environment. Answer and route incoming telephone calls to the appropriate individuals or departments. Receive, process, and distribute incoming mail and packages. Manage office supply purchasing and inventory across multiple company locations. Monitor inventory levels and proactively reorder office, kitchen, and breakroom supplies as needed. Maintain clean, organized, and fully stocked common areas, including the kitchen and breakroom. Coordinate with building management and appropriate vendors regarding office maintenance and repair needs. Assist with scheduling and coordinating internal meetings, office events, and other administrative activities. Maintain and update basic tracking tools, including Excel-based inventory and administrative records. Identify opportunities to improve office organization, inventory tracking, and other administrative processes. Provide ad hoc administrative and project support to various departments during available downtime. Take ownership of routine office needs and proactively address issues without requiring continual supervision. What Qualifications You Need 2+ years of experience in reception, administrative support, office coordination, office management, or a related position preferred. Strong customer service skills with a friendly, professional, and approachable communication style. Excellent organizational skills and attention to detail. Demonstrated ability to work independently and take initiative with minimal supervision. Ability to manage multiple responsibilities involving reception, office supplies, facilities, and administrative support. Proficiency with Microsoft Office, including basic Excel skills, and general comfort with everyday computer applications. Strong verbal and written communication skills. Ability to professionally redirect or de-escalate callers and visitors when necessary. Comfortable working within processes that may still be developing and identifying opportunities for improvement. Reliable and genuinely interested in a consistent part-time, onsite Monday-Thursday schedule. Willingness to complete a standard background check and client-required Culture Index assessment.
