Perform all duties outlined below to satisfactorily fulfill the requirements of the position. Availability may include Saturdays, Sundays, and holidays. Work hours will vary based on family residency periods, guest visits, and special events.
Job Qualifications:
Must successfully pass a background check.
Ability to lift and carry up to 50 pounds.
Ability to safely operate heavy machinery and equipment.
Must be legally authorized to work in the United States and comply with all applicable Montana employment laws.
Must maintain confidentiality. Administration Tasks
Manage current vendor relationships and continue to develop relationships with local contractors, vendors, and/or suppliers.
Prepare inspection reports and checklist summaries, reporting to the Property Manager.
Monitor and respond to emails, texts and voicemails promptly.
Develop and maintain inventory and maintenance logs on SharePoint.
Assist Property Manager and Home Office with administrative duties as requested. Purchasing, Budgeting, and Forecasting for Multiple Budgets
Coordinate and assist Property Manager and Home Office for best operating procedures with overall financial objectives in mind.
Review invoices, submitting to the Property Manager for approval. Track with vendors to ensure invoices and payments are processed in a timely manner.
Obtain multiple quotes on purchases to ensure best value for the property. Research and review competitive bids for both material and labor costs.
Assist with annual capital and operational budgets related to the residences, grounds, landscaping and support buildings.
Manage capital projects, assisting Home Office with budgets, vendor selection, vendor management, onsite inspections/reporting and overall general coordination. Residence/Facilities Management Tasks and Property Inventory/SharePoint
Assist with providing direct supervision to vendors, seasonal employees and other staff as necessary.
Perform scheduled preventive maintenance tasks specific to system management (filter changes, equipment check, crawl spaces and attic inspections, spa equipment check, etc.).
Coordinate, oversee, and/or manage repair and maintenance work assignments performed by technicians, vendors, and contractors performing building maintenance, landscaping work, spa repairs, etc.
Responsible for the care and maintenance of the residences and support structures: Snow removal: Large Snowblower, Plow, Shoveling Landscape and garden maintenance.
Complete and manage in-house tasks with staff (power washing, cleaning decks, etc.). Irrigation system check, coordinate repairs with vendors (as needed). Spa Patio (monitor equipment and perform weekly maintenance, coordinate with outside vendors as required). Decks and exterior areas, monitor maintenance tasks and coordinate repairs. Wash all windows regularly, monitor screens for necessary repairs. Exterior furniture care, protection and (daily management when residence is in use). Walkthrough of Kitchen and Laundry including appliance checks. Mechanical area check for proper function (including crawls spaces and attics), inspect all filters throughout property, check drip pans and monitor. Check all plumbing and drains, ensure clean and in working order. Check all heating and cooling, maintain logs and coordinate quarterly maintenance with approved vendor. Check filtration system on a regular basis. Electrical system and generator system checked regularly. Check and replace all burned out lightbulbs (including exterior). Confirm that audio-visual systems are fully functional and working properly (coordinate with JFOIT). Secure building grounds and ensure residence is secure.
Property assessment walkthrough, review any items in need of attention, schedule necessary arrangements to repair and track repairs. Include in weekly/monthly reports, coordinate with the Property Manager and respond to inquiries received from Home Office.
Assist with the preparation and development of property maintenance manuals, logs, checklists, and inventory summaries.
Manage inventory and stock necessary parts for emergency repairs.
Golf Carts & EVs:
keep cars and golf carts fully serviced, charged, and clean at all times. Properly store during off-season. Daily inspection, wash and cleanliness check during residency months.
Perform additional duties as required to support property operations. Vendor Management
Ensure that vendors are performing work properly and maintaining the integrity of the property.
Conduct semi-annual review of contracts with respective vendors, report findings to the Properties Group.
Track vendor insurance and keep current copies on site (and load to SharePoint) AD HOC
Supervise special projects as requested by the Property Manager and/or Home Office. Hospitality Family/Guest visits
Ensure that residence and support buildings are ready for arrival, perform final walkthroughs and continue with daily residence checks.
Assist with arrivals and departures, including ground transportation and luggage delivery/collection, collect or return car rentals, etc.
Manage specific family/guest needs prior to arrival and during times in residence, including but not limited to purchasing, staging, etc.
Assist the Hospitality Team (as needed) during family and guest's time in residence, includes kitchen support, interior presentation, and at times, dog care.
Assist with family and guest visits, special events, holidays, etc.
, must be available nights and weekends in preparation of and during residency dates and special events. No exceptiones.
Pay:
From $35.00 per hour
