Facility Operations Manager The Organization We are a 501(c)3 nonprofit organization dedicated to providing recreational spaces for a thriving community. We operate a 32-acre outdoor recreational park in Wolfeboro, New Hampshire, and are preparing to open a new 33,500 sq ft multipurpose indoor sports facility. With an approximately $11 million investment in our new indoor facility, we are entering an exciting period of growth. We are looking for an experienced, hands-on Facility Operations Manager to help successfully open the new facility and lead the day-to-day operations of our indoor and outdoor facilities. The Role This is an important leadership position requiring someone who takes ownership, works independently, solves problems, leads people well, and maintains high standards for safety, cleanliness, organization, customer service, and operational efficiency. Reporting directly to the Executive Director, the Facility Operations Manager will oversee day-to-day operations. This role requires proactively recognizing operational needs, making sound routine decisions, solving problems, and following through on tasks. The Facility Operations Manager will have meaningful authority to independently manage routine operations within established policies, procedures, budgets, priorities, and authority delegated by the Executive Director. Significant decisions involving organizational policy or direction, pricing, contracts, material budget changes, or major personnel matters remain with the Executive Director. Key Responsibilities Oversee day-to-day operations of a recreation facility's indoor building and outdoor park, ensuring they are safe, clean, organized, welcoming, and operating efficiently. Help lead the operational opening of the newly built indoor recreation facility, including staffing, training, systems, supplies, procedures, scheduling, safety, and facility readiness. Recruit and interview operational staff; onboard, train, schedule, supervise, evaluate, and discharge staff; and make hiring or significant personnel recommendations to the Executive Director. Handle HR-related admin, including new-hire paperwork, background checks, and payroll submissions. Be willing and able to step into operational responsibilities when needed to ensure the facility continues to run smoothly. Manage the indoor facility front desk at least 10 hours a week. Perform occasional hands-on work, learn and perform front-desk and indoor/outdoor facility-preparation responsibilities, and step in when necessary to ensure operations continue smoothly. Coordinate with maintenance staff, cleaning providers, contractors, and vendors to ensure maintenance needs, preventive maintenance, inspections, repairs, and facility concerns are addressed. Help protect the organization's assets by ensuring buildings, grounds, equipment, furnishings, and systems are properly cared for and maintained. Ensure operational staff understand and follow safety, emergency, incident-response, evacuation, severe-weather, AED, and first-aid procedures. Regularly evaluate operations and identify opportunities to improve efficiency, control costs, increase facility utilization, protect organizational assets, and improve the user experience. Proactively identify and resolve routine facility, staffing, scheduling, customer-service, safety, technology, and operational issues. Oversee scheduled activities, rentals, programs, and major events and ensure facilities are properly prepared for use. Manage facility scheduling and become proficient in booking, registration, waivers, check-in, communication, and other technology platforms required for operations, including troubleshooting routine system issues. Maintain and communicate an accurate master facility calendar, including rentals, events, programs, closures, maintenance, and other scheduled activities. Maintain a consistently positive visitor experience and professionally address user concerns, facility rules, and operational issues. Develop and maintain relationships with new organizations and identify opportunities to increase facility rental use in order to meet established revenue goals and serve our community. Manage operations within the approved budget and toward established rental-revenue goals and KPIs, monitoring utilization, staffing expenses, operating expenses, and other performance measures. Keep the Executive Director informed of significant operational matters and, whenever possible, bring recommended solutions rather than simply identifying problems. Be fully responsible for ensuring the indoor facility is open and ready at scheduled times, either by staffing adequately or filling in when necessary. This also includes field preparation if necessary. Ensure areas of the park are properly prepared for scheduled use and have the appropriate goals, nets, corner flags, property lines, chairs, tables, and other necessary equipment. Qualifications Minimum of five years of progressively responsible experience in operations, facility management, recreation, hospitality, property management, athletics, or a comparable field, including direct staff supervision and demonstrated management responsibility. Demonstrated human resources experience is essential, including employee supervision, onboarding, training, scheduling, performance management, documentation, conflict resolution, corrective action, and handling sensitive personnel matters professionally and respectfully. Working knowledge of employment practices and the ability to recognize when an HR or personnel matter should be elevated to the Executive Director. Demonstrated ability to take ownership, recognize problems and inefficiencies, develop practical solutions, make sound decisions within established authority, and follow issues through to resolution. Ability to operate independently with minimal supervision while consistently following established standards, procedures, policies, priorities, and direction and recognizing when Executive Director involvement is required. Strong communication, organization, time-management, attention-to-detail, and problem-solving skills, with the ability to independently prioritize and manage multiple staff, schedules, users, events, facilities, and operational needs and adjust quickly as circumstances change. Strong customer-service and interpersonal skills and the ability to communicate professionally and respectfully with children, families, older adults, athletes, coaches, renters, community organizations, donors, volunteers, contractors, vendors, and the general public. Ability to enforce rules, policies, contracts, and facility expectations professionally, fairly, and consistently with both organizations and the public, including when doing so may result in disagreement or conflict. Strong computer and technology skills, including the ability to learn and troubleshoot facility-management, scheduling, registration, booking, waiver, communication, and other online platforms required for operations and work with technical support or vendors when necessary. Strong situational awareness and the ability to recognize potential safety, operational, staffing, or facility concerns before they become larger issues. Ability to remain calm, think clearly, assess urgency, take appropriate immediate action, make sound decisions, and provide leadership during emergencies, injuries, severe weather, security concerns, facility incidents, and other unexpected situations, including recognizing when emergency services, law enforcement, the Executive Director, parents/guardians, or others need to be contacted. Demonstrated reliability, sound judgment, discretion, adaptability, professionalism, and strong follow-through. Must hold current CPR, First Aid, and AED certification at the time of employment or obtain certification within the required period following hire and maintain current certification throughout employment. Adaptability is essential. This is a new position within a growing organization, and the responsibilities and operational needs of the role will continue to evolve as the organization opens and operates its new indoor facility. Schedule & Work Environment This is a full-time, salaried, exempt, on-site position involving both indoor and outdoor environments. The typical schedule will be Monday through Friday; however, occasional evenings and weekends will be required based on events, meetings, emergencies, and operational needs. This is not a desk-only management position. The Facility Operations Manager will regularly move throughout the facility, interact with staff and users, inspect infrastructure and grounds, assist with setups, and step into operational responsibilities when necessary.
Compensation & Benefits Starting Salary:
$80,000-$100,000, depending on demonstrated experience and success relevant to the position. $13,000 annual health reimbursement package after 30 days of employment. 15 paid days off annually after 90 days of employment. 3% dollar-for-dollar
