Job Description

The Grant Manager is responsible for the day-to-day administration and oversight of the organization's grant portfolio from award through closeout. This role serves as the primary liaison between program staff, development staff, funders, and accounting to ensure all grant requirements are fulfilled accurately and on time. The Grant Manager coordinates grant applications, tracks grant deliverables and deadlines, collects supporting documentation from various departments, prepares and submits grant reports, and maintains compliance with grantor requirements. This position works closely with the accounting team but does not perform accounting functions such as financial statement preparation, grant accounting, or audit support. Essential Duties and Responsibilities Grant Administration Maintain a comprehensive grant management system and calendar for all active grants. Monitor grant award periods, reporting deadlines, renewal opportunities, and deliverable requirements. Review grant agreements and communicate requirements to internal stakeholders. Track grant performance metrics and program outcomes required by funders. Ensure compliance with grantor terms and conditions. Grant Applications and Submissions Coordinate the preparation and submission of grant applications, proposals, renewals, and amendment requests. Gather programmatic information, narratives, and supporting documentation from internal departments. Ensure all applications are completed accurately and submitted by required deadlines. Maintain copies of all applications, award letters, contracts, and correspondence. Grant Reporting Prepare and submit all required grant reports, including narrative and programmatic reports. Coordinate with department managers and program staff to collect outcome data, participant information, and supporting documentation. Gather receipts, invoices, contracts, and other supporting records needed for grant reporting. Work closely with the accounting team to obtain financial information for financial portions of grant reports. Ensure all reports are submitted timely and in accordance with grantor requirements. Interdepartmental Coordination Serve as the central point of contact for grant-related activities throughout the organization. Communicate reporting requirements and deadlines to department leaders. Follow up with staff to obtain supporting documentation and required program data. Collaborate with accounting to reconcile reported expenditures and funding requirements. Facilitate grant-related meetings and status updates as needed. Compliance and Documentation Maintain complete and organized grant files, both electronic and physical. Ensure supporting documentation is retained in accordance with organizational and grantor requirements. Monitor compliance with grant provisions and reporting obligations. Assist with grant monitoring visits, audits, and funder inquiries. Develop and maintain internal grant administration procedures. Accounting Responsibilities Excluded From This Role The Grant Manager works collaboratively with the accounting team; however, the following responsibilities remain with accounting: Grant revenue recognition Restricted net asset tracking Preparation of grant-related journal entries Financial statement preparation Audit schedules and audit support Government reporting prepared by accounting Budget-to-actual financial reporting Compliance with GAAP and nonprofit accounting standards Qualifications Education Bachelor's degree in public administration, Nonprofit Management, Business Administration, Communications, or related field preferred. Experience Minimum of 3 years of grant administration, grant management, nonprofit operations, or related experience. Experience preparing grant applications and grant reports. Experience coordinating across multiple departments. Nonprofit experience strongly preferred. Knowledge, Skills, and Abilities Strong understanding of grant lifecycle management. Excellent project management and organizational skills. Strong written communication and report-writing abilities. Ability to manage multiple deadlines simultaneously. High level of attention to detail. Proficient in Microsoft Office Suite, grant management software, and database systems. Ability to work collaboratively with program staff, leadership, funders, and accounting personnel. Key Performance Indicators (KPIs) Percentage of grant reports submitted on time. Percentage of grant applications submitted by deadline. Accuracy and completeness of grant files. Timeliness of supporting documentation collection. Compliance with grantor requirements. Renewal success rate for existing grants. Number of grant compliance findings or reporting deficiencies. Preferred Characteristics The ideal candidate is collaborative, highly organized, proactive, deadline-driven, and skilled at coordinating multiple stakeholders. They are comfortable holding departments accountable for providing required information and excel at translating complex grant requirements into actionable tasks across the organization.
