About Episcopal Charities of Southeast Florida Episcopal Charities of Southeast Florida (ECSEFL) is the philanthropic arm of the Episcopal Diocese of Southeast Florida. Founded in 1998, we partner with congregations across the diocese to fund outreach ministries serving people in need, regardless of religious affiliation. Our work is rooted in the call of Matthew 25: to see and serve Christ in every person who is hungry, unhoused, or vulnerable. In the current two-year grant cycle, ECSEFL supports 38 outreach programs across 26 congregations with over $350,000 in annual funding. Programs address food insecurity, homelessness, hygiene, senior services, children, women, and family needs, immigration assistance, and health promotion. ECSEFL is governed by a volunteer Board of Directors. Position Overview We are seeking a mission-driven, detail-oriented professional to serve as our part-time Grant Administrator. This role sits at the heart of ECSEFL's relationship with its congregational partners -- you will be the primary point of contact for churches applying for and receiving grants, guiding them through the process with clarity, care, and consistency. The Grant Administrator will manage the day-to-day flow of the grant cycle: receiving inquiries, organizing applications, communicating decisions, and maintaining the records that keep ECSEFL accountable to its donors and the diocese. This role is ideal for someone who is organized and people-oriented, comfortable working independently, and motivated by ministry in action. Key ResponsibilitiesGrant Cycle Communication Serve as the primary point of contact for grant applicants and current grantees, responding to inquiries via Zoom Phone and the organization's main email address ( ) Guide congregations through the application process with warmth, clarity, and patience Communicate grant decisions, requirements, and reporting deadlines to all applicants and awardees Monitor the grant cycle calendar and send timely reminders and updates to congregations Application Management Receive, log, and organize grant applications as they are submitted Review submissions for completeness and follow up with applicants on missing materials Prepare organized application packets for committee review, summarizing key information for board members Support the Board through the review and decision-making process Record Keeping Maintain accurate and up-to-date grant records for all applicants, awardees, and program reports Manage paper document files stored at ECSEFL's location in Tequesta, Florida, including periodic in-person file organization (occasional local travel required) Ensure mid-grant progress reports and end-of cycle reports are received, logged, and filed Support organizational continuity through well-maintained records and templates Coordination and Communications Work with the Communications Manager to ensure that grant cycle messaging -- announcements, reminders, and program spotlights -- is accurate and timely Participate in periodic check-ins with the Board Chair and Grant Committee Attend select diocesan events or congregation visits within the region as needed QualificationsRequired Strong organizational skills and meticulous attention to detail Excellent written and verbal communication, with a warm and professional manner Comfort with email, Zoom Phone, and standard office and productivity software Ability to work independently, manage multiple tasks, and meet deadlines with minimal supervision Alignment with ECSEFL's values and mission, and genuine comfort working within a faith-based context Valid driver's license and ability to travel by car within the Diocese of Southeast Florida for occasional document-related or event-related visits Preferred Prior experience in nonprofit administration, grant coordination, program support, or a related field Familiarity with the Episcopal Church or Diocese of Southeast Florida Experience with constituent relationship management or grant tracking systems Bilingual ability (English/Spanish) is a plus, given the diversity of our diocese Work Environment and Expectations This is a primarily remote position. The Grant Administrator will work independently and flexibly within the 6-10 hour per week scope, with consistent availability expected around key moments in the grant cycle -- particularly August through December -- and ongoing responsiveness to grantee inquiries throughout the year. Occasional travel by car within the Diocese of Southeast Florida is required for document management at the Tequesta office and for periodic diocesan events or congregation visits. Mileage is reimbursed per ECSEFL policy. The Board Chair and a Personnel Committee will provide direction, support, and feedback. This is a role with real relational significance: ECSEFL's 38 funded programs and the congregations behind them depend on responsive, consistent, and gracious communication, and the Grant Administrator makes that possible. Compensation and Classification This position is structured as an independent contractor engagement, consistent with applicable IRS and Florida guidelines. Contractors are responsible for their own taxes and professional expenses except as otherwise specified. Compensation is commensurate with experience, for approximately 12-16 hours per week.
