Job Description:
The Grants Coordinator is responsible for the development, assessment, and review of grant-funded project outcomes?as well as coordination of data collection. The Coordinator also manages the lifecycle of funding?from researching and writing proposals to ensuring compliance once funds are awarded. The incumbent will design, coordinate, and maintain outcome-tracking systems to ensure compliance with grant-funded reporting requirements (State, Federal, local or other grantor) and demonstrate the long-term impact of workforce training and education programs. This role serves as a liaison between DCC, employer partners, participating students and alumni and state reporting platforms such as OSOS (NYSDOL), Credential Engine, among others. Responsibilities Grants Management & Research Utilize grants management platform to search government, corporate, and private foundation funding opportunities to match organizational needs and the sustainability of grant-funded projects. Collaborate with staff to draft project narratives, design budgets, and assemble required paperwork. Track grant-funded spending in collaboration with the Business Office, monitor project progress, and ensure all activities follow funder guidelines. Write and/ or coordinate financial and progress reports for internal leaders and external grantors. Maintain a grants calendar to track application deadlines, reporting dates, and award results Data Collection & Tracking Develop and manage tools and processes to collect workforce, education, and trainee-level data throughout enrollment, completion, and post-training periods, up to and including personal outreach to current and former students as well as current and potential industry partners. Coordinate and implement the collection of metrics required by workforce training and education programs, including enrollment, completion, credential attainment, job placement, wage progression, employer engagement, job retention at 3-, 6-, and 12-month intervals, and other metrics. Maintain data accuracy across systems (Job Placement Office databases, Excel/Google Sheets, etc.). Reporting & Compliance Coordinate with the Grants Office, Institutional Research, Workforce and Education program staff to ensure timely submission of validated data to current and potential funders. Compile and submit required performance reports according to established cadence and format. Prepare outcomes reports on quarterly, final, 6-month post-project reviews and as needed or required by funder. Prepare and share communications documents with internal and external stakeholders. Stakeholder Engagement Serve as the central contact between DCC and employer/industry partners to verify placement and retention outcomes. Facilitate surveys, focus groups, and phone interviews with program completers and graduates and employers to assess employment status and satisfaction. Support outreach to participants for up to two years post-completion to collect longitudinal data. Systems Development & Integration Collaborate with relevant offices on campus to integrate data from multiple systems (e.g., Banner, OSOS, Credential Engine, Slate) to streamline reporting. Recommend improvements to the Assistant Dean of Institutional Effectiveness around data workflows, including automation and secure data-sharing protocols.
Requirements:
Required Qualifications Bachelor's degree in Business, Social Sciences, Public Administration, or a related field. Minimum 3 years of experience in grants development/reporting, outcomes reporting, qualitative research, or related. Demonstrated proficiency with data systems (e.g., Excel, Google Sheets, CRM, or database platforms). Excellent analytical, communication, and project-management skills. Ability to work independently and collaboratively with cross-functional teams and external partners. Preferred Qualifications Master's degree in a relevant field. Experience working within SUNY or community college systems. Familiarity with OSOS, Credential Engine, or similar workforce-tracking platforms. Familiarity with Instrumentl or other grants research and management platforms. Background in grant-funded program reporting and compliance.
