Grant Support Specialist The Grants Support Specialist provides administrative, compliance, financial, and reporting support for the organization's grant-funded programs. Sitting at the intersection of finance and the business office, this role reports to the Senior Director of Accounting and will build alignment with resource development. The Specialist manages post-award tracking, philanthropic grant reporting deadlines, and routine financial funder communications. The ideal candidate ensures grants are administered effectively, compliant with funder requirements, and backed by sound non-profit accounting and development practices. This is a full-time (37.5 hours per week) position; pay is commensurate with experience in a range of $26.00 to $28.00 per hour. Qualifications Thorough knowledge of non-profit budgeting and accounting practices, processes, and procedures, including experience with private foundations and government grant compliance. Ability to manage competing priorities independently and collaboratively in a fast-paced environment, utilizing strong organizational, communication, and time-management skills to meet deadlines. Strong organizational skills with demonstrated ability to manage post-award deadlines across multiple departments. Proven ability to work collaboratively across functional teams, particularly between finance, business, and fundraising. Proficiency with Salesforce, QuickBooks, and database management software. Excellent written and verbal communication skills. Job Responsibilities & Duties Grant Administration, Compliance & Post-Award Reporting Maintain the master schedule of external grant deliverables, with primary responsibility for tracking and managing philanthropic grant reporting deadlines. Produce and submit periodic reports to external stakeholders, funders, and foundation partners. Assign reporting tasks to appropriate staff, compile supporting financial documentation, and ensure timely submissions. Assist in the development and updating of grants management policies and procedures. Assist with program and organizational audits as needed by organizing grant-related records, single audit documentation, and financial files. Grant Lifecycle & Cross-Department Support Acts as a liaison to the resource development department to align post-award financial tracking with overall fundraising strategy, as directed by the Senior Director of Accounting. Work with program staff to gather data required for grant reporting and ensure departments understand reporting deadlines. Coordinate with accounting personnel to track grant expenditures, line-item budgets, and financial reporting. Database & Data Management Update grant tracking systems and spreadsheets to ensure information remains current, accurate, and accessible. Maintain organized physical and electronic filing systems consistent with organizational record retention policies. Financial Funder & Administrative Support Serve as the accounting point of contact for financial communications with funders, including submitting approved invoices, financial reports, and payment documentation. Prepare meeting materials, routine financial correspondence, and post-award documentation. Maintain confidentiality of financial, donor, and organizational information.
