PRIMARY FUNCTION
The Grants Administrator supports the administration and compliance of grant-funded programs. Under the supervision of the Grants Compliance Director, this position assists with grant applications, reporting, data collection, recordkeeping, budget tracking, and post-award requirements. The Grants Administrator works with BGCTX departments and funding partners to help ensure grant requirements and deadlines are met.
KEY ROLES
(Essential Job Requirements):
Grant Administration & Compliance:
Assist with grant applications and post-award administration; maintain grant calendars and track reporting requirements, deliverables, budgets, expenditures, and deadlines to support compliance.
Data, Reporting & Records:
Collect, enter, review, and maintain grant, program, participant, attendance, performance, and financial data. Prepare required reports, maintain organized and confidential records, and follow up on missing or incomplete information.
Financial & Database Management:
Work with the Grants Compliance Director, CFO, COO, and appropriate staff as necessary to maintain grant budgets, billings, expense documentation, databases, tracking systems, and other supporting records.
Communication & Coordination:
Communicate grant requirements, deadlines, and data needs to appropriate staff and maintain professional communication with grant managers, program officers, funding partners, and other stakeholders.
Stewardship:
Support donor and funder stewardship by maintaining accurate records and assisting with acknowledgments, correspondence, reports, and other communications that help maintain positive relationships with organizational supporters.
Administrative Support:
Provide general administrative and clerical support to the Grants Compliance Department, maintain a working knowledge of BGCTX programs and services, and assist with special projects and other grant-related duties as assigned.
ADDITIONAL RESPONSIBILITIES
Perform other duties and special projects as assigned by the Grants Compliance Director or organizational leadership. Assist with special evets and/or community events for the purpose of promoting/representing
BGCTX. SKILLS/KNOWLEDGE REQUIRED
High school diploma or equivalent required; bachelor's degree preferred, or an equivalent combination of education and relevant experience. Experience in grant administration, compliance, reporting, nonprofit administration, financial development, or related work preferred. Strong organizational, communication, and interpersonal skills with attention to detail and the ability to manage multiple priorities and deadlines. Ability to work independently and collaboratively while maintaining effective working relationships with staff, funders, community partners, and other agencies. Proficiency with computers, spreadsheets, databases, data-entry systems, and electronic recordkeeping, with the ability to maintain accurate and confidential records. Working knowledge of grant budgets, expenditure tracking, reporting requirements, and supporting documentation preferred.
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT
Ability to lift up to 20 lbs. Ability to sit or stand for extended periods of time Ability to work effectively using a personal computer for extended periods of time. Occasional exposure to outdoor weather conditions and periods of loud or excessive noise when working at Club sites or organizational events.
