Overview The Inventory Specialist is responsible for maintaining accurate inventory records, receiving and validating incoming shipments, preparing and validating outgoing shipments, and ensuring that materials and equipment are properly tracked throughout the organization.
This position will perform regular inventory reconciliation, investigate discrepancies, maintain accurate inventory records, and coordinate with Operations, Project Management, Service, Purchasing, and Accounting as needed to resolve inventory-related issues.
The position requires frequent physical handling of materials and the ability to lift and move boxes and equipment weighing up to 50+ pounds . Essential Duties and ResponsibilitiesInventory Management Maintain accurate physical and electronic inventory records. Perform routine cycle counts and full physical inventory counts as assigned. Reconcile physical inventory against inventory management systems, spreadsheets, purchase orders, and other records. Identify, investigate, and resolve inventory discrepancies. Track serialized equipment, high-value equipment, parts, and other controlled materials. Monitor inventory levels and identify shortages, excess inventory, damaged materials, and obsolete items. Maintain organized storage locations and ensure materials are properly labeled and assigned. Process inventory transfers between warehouse locations, jobs, vehicles, and other company locations. Ensure returned materials are properly inspected, documented, and returned to inventory when appropriate. Shipment Validation & Receiving Receive incoming shipments and verify contents against purchase orders, packing slips, and other documentation. Confirm quantities, part numbers, model numbers, and condition of received materials. Document shortages, overages, damaged materials, incorrect shipments, and other receiving discrepancies. Validate outgoing shipments to ensure the correct materials, quantities, and equipment are being shipped to the appropriate job site, technician, customer, or vendor. Verify shipment contents against work orders, project material requirements, pick lists, and shipping documentation. Prepare materials for shipment and ensure packages are appropriately labeled and secured. Maintain documentation related to incoming and outgoing shipments. Inventory Reconciliation Conduct scheduled and unscheduled inventory audits. Research discrepancies and identify potential causes such as receiving errors, shipping errors, misallocated materials, data-entry errors, damaged materials, or unrecorded transfers. Make approved inventory adjustments and maintain supporting documentation. Report significant or recurring discrepancies to management. Assist with developing and improving inventory-control procedures. Warehouse & Material Handling Maintain a clean, organized, and safe warehouse and inventory area. Properly store electrical, low-voltage, security, access control, CCTV, life-safety, and other related materials and equipment. Safely operate warehouse equipment as authorized and trained. Load and unload shipments and move materials throughout the warehouse. Safely lift, carry, push, pull, and move boxes and equipment weighing up to 50 pounds . Use ladders, carts, pallet jacks, shelving systems, and other material-handling equipment as required and properly trained. Follow all company safety policies and procedures. Administrative & Cross-Functional Responsibilities Maintain accurate inventory documentation and records. Enter and update inventory information in company systems. Coordinate with Purchasing regarding discrepancies, backorders, returns, and replacement materials. Coordinate with Project Management and Operations regarding project material requirements. Support Service Technicians by preparing and issuing required parts and equipment. Assist Accounting with documentation related to purchases, receipts, returns, and inventory discrepancies. Assist management with inventory reports and other inventory-related analysis. Identify opportunities to improve inventory accuracy, organization, efficiency, and cost control. Perform other duties related to inventory, warehouse operations, and company materials as assigned. Required Qualifications High school diploma or equivalent preferred. 1-3 years of inventory, warehouse, logistics, material control, or related experience preferred. Experience using inventory management, ERP, warehouse management, or similar software preferred. Basic computer skills, including Microsoft Excel. Strong attention to detail and organizational skills. Ability to accurately count, identify, and document materials. Ability to investigate discrepancies and determine appropriate corrective action. Ability to work independently while also coordinating effectively with multiple departments. Strong communication and problem-solving skills. Ability to prioritize multiple tasks in a fast-paced environment. Ability to safely lift and move items weighing up to 50+ pounds on a regular basis. Valid driver's license may be required depending on company operations. Preferred Qualifications Experience with low-voltage, electrical, security, access control, CCTV, fire alarm, or similar construction materials. Familiarity with electrical/electronic components, cabling, connectors, hardware, and installation equipment. Experience working with serialized inventory. Experience performing inventory audits and reconciliation. Experience with Service Fusion, ERP, inventory management, or similar operational software. Forklift/pallet jack experience, where applicable. Physical Requirements The employee must be able to perform the following physical activities, with or without reasonable accommodation: Lift and carry boxes and equipment weighing up to 50+ pounds . Frequently stand, walk, bend, stoop, reach, push, pull, and handle materials. Load and unload deliveries. Move inventory throughout the warehouse and staging areas. Work in a warehouse environment that may include varying temperatures, noise, dust, and other normal warehouse conditions. Operate or work around material-handling equipment as required.
Pay:
$60,000.00 - $65,000.00 per year
