Job Description

Logistics Coordinator - Data Center Position Summary The Logistics Coordinator - Data Center is responsible for outbound logistics execution supporting high‑volume, high‑value project deliveries. This role provides dedicated ownership of shipment planning, storage coordination, freight cost visibility, delivery execution, shipment condition documentation, and logistics issue resolution for complex outbound flows. This position supports increasing business demand by absorbing outbound logistics complexity, enabling stable delivery performance, improved inventory efficiency, and improved freight cost visibility. The role reports to the Supply Chain Manager and complements the existing Logistics Coordinator by assuming responsibility for complex outbound project flows, allowing baseline outbound operations for the Arkansas plants to continue uninterrupted. Scope of Responsibility Outbound Shipment Execution Coordinate daily outbound shipments for project‑based units, including carrier selection, rate confirmation, shipment setup, tracking, and completion Prepare and issue Bills of Lading (BOLs) and required shipping documentation Schedule delivery appointments with carriers, storage locations, and customer sites for FTL and LTL shipments Manage ship date changes and early shipments in coordination with Production, Supply Chain, and customer requirements Respond to shipment tracking and proof‑of‑delivery (POD) requests from internal teams and customers Storage Coordination & Multi‑Stage Deliveries Coordinate shipment of completed units from the factory to temporary storage locations Plan and manage release of stored units for final delivery based on customer site readiness Maintain visibility of unit locations and status while in storage Align production completion, storage availability, and outbound delivery timing to support project schedules Parts and Warranty Shipment Coordination Coordinate outbound shipments of parts and warranty materials related to project jobs Ensure timely setup, tracking, and delivery of parts and warranty shipments to support customer service and field activity Communicate shipment status and delivery confirmation to internal stakeholders and customers as required Freight Rate Management & Quoting Support Run estimated freight quotes for new and scheduled orders Assign carriers to upcoming shipments based on cost, capacity, and timing requirements Monitor freight rate fluctuations and provide justification for rate variances Compare estimated freight costs against project freight budgets and request adjustments when required Support improved freight cost accuracy at the point of sale by providing execution feedback to Sales and project teams Shipment Condition & Proof of Delivery Management Document and verify shipment condition at the time units leave the factory, including coordination of inspections, photographs, and required shipping documentation Ensure proof‑of‑delivery (POD) is obtained, recorded, and maintained for all outbound movements, including factory‑to‑storage and storage‑to‑customer deliveries Maintain shipment condition and handoff records to support traceability, customer inquiries, insurance coordination, and damage investigations Coordinate with carriers, storage providers, customers, and insurance representatives to confirm shipment condition at each transfer point Support shipping damage claims by providing complete shipment history, condition documentation, and POD records Shipping Damage & Claims Coordination Coordinate response to shipping damage incidents Work directly with carriers, customers, and insurance providers to document damage and submit claims Track claims status and communicate progress to internal stakeholders Support resolution actions to minimize customer impact and financial exposure Daily, Weekly, and Monthly Logistics Activities Participate in production meetings to align outbound shipment plans with manufacturing schedules Communicate upcoming outbound demand to carriers to secure capacity in advance Enter and maintain shipment data including carriers, rates, tracking numbers, and shipment confirmations in ERP systems Scan and maintain packing lists and shipment documentation Review, approve, or escalate freight invoices in coordination with Accounting Monitor upcoming shipments and identify risks related to holidays, weather, DOT restrictions, or capacity constraints Other duties as assigned Key Performance Indicators (Primary) Freight Spend This position will report on outbound freight spend, including tracking actual freight costs against budget, monitoring rate fluctuations, supporting freight cost justification, and identifying opportunities to reduce premium and unplanned freight. On‑Time Delivery (OTD) This position will report on the On‑Time Delivery (OTD) metric for outbound shipments, including deliveries from storage, factory‑direct shipments, and parts and warranty orders. Reporting will provide visibility into delivery performance, risks, and exceptions impacting customer commitments. Qualifications (Suggested) Experience in logistics, transportation coordination, or supply chain execution within a manufacturing environment Experience coordinating FTL and LTL shipments, freight quoting, shipment tracking, and documentation Ability to manage high‑volume, time‑critical shipments with multiple stakeholders Strong communication and organizational skills ERP experience required (Epicor preferred)
