We are seeking a meticulous, safety-minded biorepository professional to serve as custodian of our critical biological assets, managing the end-to-end lifecycle of biospecimens and study materials from receipt through processing, storage, retrieval, and shipment. The specimens and materials managed by this role directly support drug development, diagnostics, and translational research programs for our biopharma and diagnostic partners worldwide. We are committed to helping the research community make significant advancements in the prevention, diagnosis, and treatment of diseases. This role supports biospecimen operations through hands-on shipping and handling, inventory management, cold-chain logistics, equipment monitoring, and quality compliance. Based on-site where shipping and receiving (S&R) and research and development (R D) supplies and laboratory equipment are stored, the role will work closely with Operations to support client and study timelines while partnering with QA/Quality Compliance to maintain accurate documentation, controlled processes, and inspection readiness. You will join a small, high-trust Operations team building out repository operations from the ground up, with opportunities for professional growth as the company continues to expand. This is an opportunity for an analytical, problem-solving professional to contribute to the development of a growing biorepository function while supporting meaningful work in the life sciences.
Key Responsibilities Biospecimen Inventory Management:
Receive, label, aliquot, store, retrieve, and dispose of biological materials across ambient, 2-8°C, -20°C, and -80°C storage conditions. Maintain accurate specimen identification, location, status, and inventory records. Perform routine inventory reconciliation and investigate discrepancies. Retrieve and stage specimens accurately for internal use, client requests, testing, and shipment. Perform routine checks to ensure specimens are properly labeled, organized, and stored under required conditions.
Shipping, Handling & Cold Chain Logistics:
Receive biospecimens, study materials, and R D supplies. Prepare, package, document, and ship biological and potentially hazardous materials domestically and internationally in accordance with IATA, DOT, and applicable requirements. Maintain cold-chain integrity using dry ice, cold packs, and temperature-controlled packaging. Coordinate shipments with couriers and logistics providers, including scheduling, tracking, delivery confirmation, and resolution of delays or exceptions. Maintain shipping, chain-of-custody, and temperature-control documentation.
Equipment Monitoring:
Monitor freezers, refrigerators, cold rooms, environmental monitoring systems, and other biorepository equipment. Support preventive maintenance, calibration, qualification, and service activities. Participate in an after-hours/weekend on-call rotation for environmental monitoring alarms and emergency response. Maintain organized freezer and storage locations, including specimen maps, rack/box locations, and inventory transfers, to support traceability and accurate specimen retrieval.
Quality, Compliance & Documentation:
Follow SOPs, work instructions, study-specific requirements and safety procedures. Maintain work areas and records in an inspection-ready state. Identify and escalate deviations, non-conformances, temperature excursions, inventory discrepancies, and risks to specimen integrity or data integrity. Support QA/Quality Compliance with audits, inspections, quality reviews, investigations, and CAPA activities as assigned. Maintain accurate electronic records through barcode scanning, data entry, and reconciliation of specimens against manifests and other source documentation. Maintain confidentiality when handling clinical and donor information.
Operations & Cross-Functional Support:
Partner with Operations to coordinate specimen movement, inventory availability, shipping activities, and client sample requests. Communicate proactively regarding inventory status and shipment logistics. Support onboarding and training related to specimen handling, shipping, equipment, and applicable SOPs. Coordinate with internal teams, collection sites, vendors, couriers, and other external partners as needed. Support the implementation and continuous improvement of repository workflows, storage organization, inventory processes, shipping procedures, equipment monitoring, and related SOPs and work instructions as the function develops Qualifications Required Qualifications Bachelor's degree in Biology, Life Sciences, Health Sciences, Biotechnology, Logistics, or a related field, or an Associate's degree with an equivalent combination of education and 3-5 years of relevant experience in a biorepository, research operations, clinical laboratory, CRO, or life-sciences environment 1-3 years of experience in a biorepository, specimen bank, clinical laboratory, CRO, or life-sciences warehouse environment; equivalent experience may be considered Hands-on experience with specimen accessioning, inventory tracking, sample handling, cold-chain logistics, or biological material shipping Working knowledge of regulated life-sciences environments (cGMP, GCP, or similar quality systems) Experience safely handling biological materials, dry ice, and/or hazardous materials, including required PPE Proficiency with Microsoft Office, particularly Outlook and Excel Strong attention to detail in inventory, data entry, and documentation Strong organizational and communication skills, with the ability to manage multiple priorities independently and collaboratively in a fast-paced environment Preferred Qualifications Experience with laboratory information management systems or sample tracking software Experience with SOPs, QA/QC processes, deviations, or CAPA Experience coordinating with clinical sites, vendors, couriers, or clients Familiarity with IRB, HIPAA, or similar regulatory frameworks Physical Requirements & Work Environment Ability to lift up to 50 lbs unassisted Ability to work in PPE for extended periods, including in walk-in cold rooms, low-temperature freezers, and handling dry ice Prolonged standing/walking and repetitive motion (aliquoting, labeling) Willing to obtain
