Inland Crane is seeking a highly organized and computer-savvy Logistics Coordinator to support operations on a large-scale data center construction project. This position will be responsible for coordinating and tracking material and equipment deliveries, maintaining accurate project records, supporting billing documentation, and monitoring information related to construction progress. The ideal candidate is detail-oriented, comfortable working with spreadsheets and electronic tracking systems, smartphone, tablet or iPad based systems, and able to communicate effectively with field personnel, project management, vendors, trucking companies, and other project stakeholders. This is a fast-paced construction environment where accurate information and timely communication are critical. The Logistics Coordinator will play an important role in ensuring materials, equipment, documentation, and project tracking stay organized and up to date throughout the project. Key Responsibilities Coordinate and track incoming and outgoing deliveries of materials, equipment, and project-related products. Maintain detailed delivery logs, including delivery dates, quantities, locations, status, and supporting documentation. Track materials and equipment from order/shipment through delivery and receipt at the project site. Communicate with vendors, suppliers, trucking companies, field personnel, and project management regarding delivery schedules and changes. Assist with scheduling deliveries to ensure materials arrive when needed and do not interfere with site operations. Maintain accurate electronic records for material quantities, deliveries, work progression, and other project information. Track project progress and completed work to assist with billing and cost documentation. Collect and organize delivery tickets, bills of lading, receipts, packing slips, invoices, and other supporting documentation. Verify that documentation matches materials or equipment received and identify discrepancies. Assist project management and accounting with information needed for customer billing and vendor invoice verification. Create and maintain Excel spreadsheets, trackers, reports, and project logs. Update project tracking systems regularly to ensure information is current and accurate. Monitor upcoming deliveries and communicate potential delays, shortages, or scheduling conflicts. Coordinate with field supervision to determine material needs, delivery locations, and priorities. Maintain organized electronic project files so supporting documentation can be easily located for billing, project reporting, and closeout. Assist with inventory and material reconciliation as needed. Provide regular updates to project management regarding delivery status, outstanding materials, and potential issues. Perform additional administrative and project coordination duties as needed. Qualifications Strong computer skills and ability to learn new software and project tracking systems quickly. Proficiency with Microsoft Excel, Outlook, and Microsoft Office . Comfortable creating, updating, and maintaining detailed spreadsheets and electronic logs. Strong attention to detail and accuracy when entering and reviewing project information. Ability to manage multiple deliveries, deadlines, and priorities simultaneously. Strong organizational and recordkeeping skills. Effective written and verbal communication skills. Ability to communicate professionally with vendors, drivers, field personnel, supervisors, and project management. Ability to identify discrepancies and follow through until issues are resolved. Comfortable working independently while coordinating with multiple departments and project personnel. Construction, logistics, material coordination, project administration, or similar experience preferred. Experience working on large construction, industrial, mission-critical, or data center projects is a plus. Preferred Skills Advanced or intermediate Excel skills, including sorting, filtering, formulas, and maintaining large tracking spreadsheets. Experience with construction management, ERP, document control, or project tracking software. Familiarity with purchase orders, delivery tickets, invoices, bills of lading, and material receiving documentation. Experience supporting construction billing, progress tracking, quantity tracking, or cost documentation. Understanding of construction sequencing and the importance of coordinating material deliveries with field progression. What We're Looking For This position requires someone who can keep a large amount of information organized and accurate. The right candidate will be comfortable working on a computer throughout the day while also communicating directly with the field to understand what has been delivered, what is outstanding, what work has progressed, and what documentation is needed. We are looking for someone who is proactive rather than reactive . If a delivery is late, documentation is missing, quantities do not match, or information needed for billing is incomplete, this person should recognize the issue and work with the appropriate team members to get it resolved.
Pay:
Up to $135,000.00 per year
