Position Summary The Order and Logistics Coordinator manages order processing and delivery coordination, connecting Sales, Fulfillment, and Delivery to keep orders moving accurately and on schedule. This role allocates inventory, plans routes, prepares fulfillment materials, reconciles invoices, and completes required shipping and compliance documentation before orders leave the facility. We are looking for someone who is organized, attentive to detail, and proactive about communicating changes and resolving discrepancies. The ideal candidate is comfortable learning inventory, order management, and delivery routing software, and willing to assist with fulfillment and other operational needs once core order responsibilities are complete. Key Responsibilities Order Processing and Delivery Coordination Allocate inventory and convert orders using our inventory and order management software (GrowFlow). Maintain accurate ship dates, drop dates, and order status in the company order tracker while meeting the required two-day processing turnaround. Plan efficient delivery routes using routing software (Spoke), schedule store delivery windows, and coordinate pickups with our third-party delivery partners, including TERP and LFTD. Print and distribute daily route sheets for order coordination, Fulfillment, and drivers. Update affected teams promptly when routes or delivery schedules change. Generate and distribute pull sheets, and print and organize product stickers and labels so Fulfillment has accurate materials for each order. Invoice Reconciliation and Compliance Documentation Reconcile order tracker totals against invoices in our order management software. Investigate discrepancies and coordinate corrections with the appropriate department before dispatch. Generate required state transport manifests and verify that order, recipient, and delivery information is accurate and consistent with the shipment. Print, assemble, and organize complete driver packets containing invoices, manifests, and other required paperwork before departure. Process internal and external sample requests, including order entry, printing, manifesting, and required compliance documentation in accordance with company procedures and applicable regulations. Communication and Operations Support Serve as the main point of contact for order and delivery updates. Alert Sales to inventory shortages or scheduling issues, and keep Fulfillment and Delivery informed of live order and route changes. Promptly report printer, computer, and software issues to the System Administrator and communicate any impact on order processing to affected teams. Greet visitors and direct them to the appropriate department, receive and sign for packages, and file incoming paperwork in the correct folders. Audit processing and office supplies weekly and submit replenishment requests to Finance to maintain buffer stock and prevent interruptions. Cross-train and assist Fulfillment and other departments as needed after completing core order processing and delivery coordination responsibilities. Qualifications and Requirements Strong organizational skills and accuracy when handling inventory records, invoices, labels, and regulatory documentation. Clear verbal and written communication, with the ability to coordinate across departments and communicate changes promptly. Comfort using computers, spreadsheets, and business software, and the ability to learn order tracking and routing systems. Ability to manage competing priorities, meet deadlines, and identify and resolve discrepancies or escalate issues when needed. Willingness to cross-train and provide hands-on support in Fulfillment and other departments. Must be at least 21 years of age and meet applicable requirements for employment in a licensed cannabis facility. Preferred Experience Previous experience in order processing, logistics, dispatch, or warehouse administration. Experience using inventory, order management, or cannabis compliance software. Familiarity with GrowFlow is a plus. Familiarity with cannabis transport manifests, traceability procedures, and delivery documentation. Physical Requirements Ability to perform computer-based work for extended periods. Ability to stand, walk, and occasionally lift or move items weighing up to 20 pounds while assisting Fulfillment.
Pay:
$18.00 - $21.00 per hour Expected hours: 40.0 per week
