EXECUTIVE DIRECTOR
The Executive Director leads the business and administrative operations of the non-profit Albany Area Gymnastics Association (AAGA). This role is responsible for organizational leadership, building operations, finance, compliance, staff administration, registration systems, communications, and AAGA's presence in the community. Working in partnership with the Board of Directors and Director of Coaching, the Executive Director ensures the organization operates safely, efficiently, and in alignment with AAGA's mission and strategic priorities
Position Overview Employment Type:
Part-time, hourly position; approximately 20 hours per week on average, with higher hours during Showcase, session registrations, and year-end reporting periods.
Work Location:
Hybrid, at least 50% of scheduled hours must be worked onsite at the AAGA facility.

Director of Coaching and Program Support Coach (as needed) Qualifications 3+ years of leadership, management, or relevant business/nonprofit experience. Strong organizational, communication, and problem-solving skills. Ability to manage multiple priorities and work independently. Experience handling sensitive employee and parent concerns professionally. Experience with non-profit budgeting, financial administration, and organizational policies. Comfortable using technology for scheduling, registration, communications, and marketing. Experience with event planning, marketing, and community engagement. Ability to work effectively with and report to a Board of Directors. Familiarity with gymnastics preferred. Ability to pass a criminal background check. Key Responsibilities Board Relations & Reporting Serve as the primary liaison to the Board of Directors and its committees; prepare reports, present organizational updates, and attend board meetings. Develop the organization's annual calendar and secure Board approval. Keep the Board informed of significant operational, financial, personnel, and safety matters, and bring items requiring Board action forward in a timely manner. Participate in an annual performance review conducted by members from the Board of Directors. Business, Building Operations & Compliance Oversee AAGA's day-to-day business and administrative operations. Coordinate building operations, maintenance, repairs, vendor relationships, supplies, access, and facility readiness. Maintain required organizational records, licenses, insurance documents, contracts, policies, and compliance files. Maintain adequate insurance coverage and audits annually Finance & Administration Maintain and monitor detailed financial records (lists & spreadsheets) in coordination with the Board Treasurer and provide regular financial information to the Board of Directors as requested. Research, write, and submit grant requests (Bernick's, ROX, Albany Mutual, etc.) as approved by AAGA Board of Directors Request donations and sponsors with board approval. Oversee accounts payable and receivable, deposits, payroll coordination, purchasing, invoicing, and internal financial controls, including administration of the Albany High School lease and related rental invoices. Apply Board-approved internal controls policy, including Treasurer review of reconciliations and dual authorization for disbursements above the Board-set threshold. Coordinate year-end financial reporting, tax filings, audits or reviews, and other required nonprofit reporting. Staff Leadership & Communication Directly supervise the Director of Coaching and any assigned administrative staff. Direct the Program Support Coach's administrative, event, and project work, coordinating with the Director of Coaching. Hold weekly leadership meetings with the Director of Coaching to align on staffing, programming, gymnasts and family needs, events and facility matters. Respond to escalated parent concerns and/or complex or sensitive emails. Onboard staff and maintain current employee handbooks, operational procedures, event procedures, and other internal guidance; ensuing staff understand and follow them. Scheduling & Registration Approve the session, clinic, camp, private lesson, birthday party, and open gym calendar developed by the Director of Coaching, and ensure registration is open, accurate, and on schedule in the registration system. Monitor and adapt to registration trends and recommend operational adjustments as needed. Annual Gymnastics Showcase Lead the annual AAGA Showcase planning committee (decorations, concessions, gymnast shout-outs, sales, etc.) with overall responsibility for event logistics, timeline, vendors, sponsors, volunteers, communications, and day-of execution. Ensure that the Director of Coaching has determined showcase content, gymnast participation, and coach staffing for the show. Maintain Financial records for the show. Fundraising & Charitable Gaming Coordinate the weekly meat raffle at Shady's Sunset Bay, including volunteer recruitment and scheduling, volunteer training, product pick-up, and applying credits to family accounts. Manage the annual Ultimate Prize/Cash Raffle in compliance with State of Minnesota requirements, including the charitable gambling license application, ticket design and ordering, monitor and distribute tickets to gymnast families, collection of funds, submission of raffle recap form to the State of Minnesota, and issuance of prizes and 1099s to winners. Communications, Website & Marketing Coordinate mail, email, phone, and social media communications. Manage monthly AAGA Happenings email. Coordinate Professional Photo Day Represent AAGA at Albany Chamber of Commerce monthly meetings Coordinate participation in community events (parades, expos, NNO, etc.) Maintain website, building signage, and social media with current schedules, calendars, event flyers, weather-related closings, Aviator (competitive team) meet information, staff and board listings.
