Job Description

POSITION SUMMARY
The Executive Director is responsible for the day-to-day administration and operation of the Association. Working under the direction of the Board of Directors, the Executive Director implements Board policies and initiatives, manages the Association's financial and administrative activities, supports and serves the membership, coordinates meetings and events, supervises staff, maintains Association facilities and resources, and promotes the Association and its benefits within the industry. The Executive Director serves as a primary point of contact for members, prospective members, sponsors, vendors, and the public and is expected to represent the Association in a professional and responsive manner.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Board & Governance Prepare financial reports, supporting information, and other materials for the monthly Board of Directors meeting packet. Attend Board of Directors meetings, record meeting minutes, and include draft minutes in the following month's Board packet for review and approval. Work with the Board President to identify new members, new business, and other matters requiring recognition or action. Implement policies, initiatives, and decisions established by the Board of Directors. Keep the Board informed of significant operational, financial, membership, and Association matters. Continually evaluate Association expenditures, operations, and procedures and recommend changes that improve efficiency or benefit the Association. Financial Administration Assist with preparation of the Association's annual operating budget and monitor performance against the approved budget. Prepare and maintain appropriate financial records and reports for review by the Board of Directors. Oversee payroll and the Association's day-to-day financial responsibilities in accordance with Board-approved policies, budgets, and internal controls. Maintain accurate records related to membership, sponsorships, payments, and corresponding financial activity. Monitor Association spending and identify opportunities to improve financial efficiency and operating procedures. Coordinate financial activities associated with meetings, events, registrations, sponsorships, raffles, and other Association programs. Membership & Member Services Process new memberships and maintain accurate membership records and databases. Prepare and distribute monthly membership renewals. Serve as a primary point of contact for members and prospective members. Greet members, customers, and visitors and answer incoming telephone calls. Promote membership development and retention by communicating the Association's services, programs, activities, and benefits to existing and prospective members. Maintain the member online plan room and print plans for members using the Association's large-format printer. Meetings & Events Coordinate quarterly membership meetings, including securing speakers, reserving meeting facilities, and confirming meeting sponsors. Prepare and distribute quarterly meeting invitations to the membership and encourage attendance by appropriate guests and prospective members. Prepare materials, signage, and other resources needed for quarterly membership meetings. Attend quarterly membership meetings; assist with registration; brief the President regarding new members, new business, and other items requiring recognition; and oversee scholarship raffle activities and related payments. Monitor, coordinate, and schedule Association committee meetings. Plan, coordinate, promote, and assist with annual Association events, including but not limited to: Bowling Tournament Spring Sporting Clay Tournament Fall Sporting Clay Tournament Summer Golf Tournament Fall Golf Tournament Spring Fishing Event Fall Fishing Event Pig Roast Christmas Party Prepare and distribute event notices, invitations, reminders, and other communications. Coordinate event registrations, sponsorships, payments, vendors, facilities, materials, and other event requirements as appropriate. Communications, Marketing & Public Relations Design, prepare, and distribute the Association's monthly newsletter. Manage the Association's social media presence and promote members, Association programs, meetings, events, and activities. Use appropriate marketing and design software to prepare advertisements, promotional materials, and other communications. Maintain and update the Association's website. Conduct public relations and membership-development activities by communicating the Association's services and benefits to industry-related companies and prospective members. Maintain professional communications with members, sponsors, vendors, industry partners, and the public. Office, Facility & Staff Management Administer the Association's daily office operations. Manage the Association building and coordinate routine maintenance, repairs, and other facility needs. Maintain appropriate Association administrative, membership, sponsorship, financial, meeting, and organizational records. Coordinate with vendors and service providers as necessary to support Association operations.
QUALIFICATIONS
Previous experience in association management, nonprofit administration, office management, business administration, bookkeeping, or a related field preferred. Experience with budgeting, bookkeeping, payroll, and financial reporting preferred. Proficiency with QuickBooks and Microsoft Office programs required. Experience with Canva or similar marketing and graphic-design software preferred but not required. Strong written and verbal communication skills. Strong organizational and time-management skills with the ability to manage multiple priorities, deadlines, meetings, and events. Ability to work independently, exercise sound judgment, and appropriately prioritize Association responsibilities. Ability to interact professionally and effectively with Board members, Association members, employees, vendors, sponsors, prospective members, and the public. Experience supervising employees preferred. Familiarity with the construction industry or a construction-related trade association is preferred.
WORK EXPECTATIONS
This is a full-time position. Because the Association conducts Board meetings, membership meetings, tournaments, social functions, and other events outside normal business hours, the Executive Director must be available for occasional evening, early-morning, and weekend responsibilities as required. Accordingly, flexibility in office hours and work location is supported. The Executive Director is expected to maintain appropriate confidentiality regarding Association financial information, membership information, Board discussions, personnel matters, and other confidential or sensitive information.

The Executive Director will perform other duties and responsibilities as reasonably assigned by the Board of Directors consistent with the needs and objectives of the Association.
Pay:
$45,000.00 - $55,000.00 per year
