Part-Time Business Operations & Accounting Coordinator Stealth - 4.1 Arcadia, CA Job Details Part-time $25 - $32 an hour 5 hours ago Qualifications Operational analysis Administrative experience Attention to detail QuickBooks ACH Full Job Description We are a growing ATM services company looking for a highly organized, dependable, and self-motivated person to help manage the day-to-day administrative and operational side of the business. This is a heavily remote position, but candidates must live within reasonable driving distance of our Southern California office/warehouse. Regular office attendance is not required. However, because our business involves physical equipment, cash, inventory, and a local warehouse, there will occasionally be situations where an in-person presence is needed. You may occasionally be asked to receive or check mail, assist with physical inventory, check equipment or supplies, handle paperwork, or help with another operational issue that cannot be handled remotely. This is not a field-service position, but you should be comfortable stepping in and handling an occasional in-person need when necessary. You will work directly with the owner and field team and will have meaningful responsibility for keeping the company's administrative and operational processes organized and moving forward. We are a small company, so this is not a narrowly defined position where you will simply be given a checklist of tasks. We are looking for someone who can work independently, take ownership, solve problems, and follow things through to completion. We have built our own internal operating system that manages much of our ATM operations, loading, routes, cash reconciliation, reporting, analytics, and workflow. You will use this system extensively and will be trained on it. We also expect you to think. If you see a problem, inefficiency, unnecessary work, or an opportunity to improve our system or processes, we want you to speak up and provide input. We value people who don't simply identify problems, but think about how they can be solved. The right person is highly organized, detail-oriented, trustworthy, responsive, and capable of working independently without constant supervision. Responsibilities Operations Prepare daily ATM loading schedules/routes using our internal system. Reconcile completed loads, cash movements, and system records. Identify and investigate discrepancies or missing information. Track operational tasks and coordinate field personnel through completion. Maintain accurate ATM, cash, equipment, and operational records. Administration Handle contracts, paperwork, bank requests, client/partner emails, and administrative requests. Set up new accounts and ATMs, including ACH/payment setup. Maintain company records and documentation. Coordinate with vendors and service providers. Own requests through completion and make sure nothing falls through the cracks. Occasionally assist with local in-person operational needs at the warehouse. Bookkeeping & Payroll Perform routine QuickBooks bookkeeping and bank/account reconciliations. Handle invoicing, expenses, AP/AR, and other routine accounting tasks. Prepare/review recurring payroll adjustments and coordinate payroll. Track routine tax payments and filing requirements and coordinate with our CPA. Identify unusual transactions, discrepancies, or other issues requiring attention. Reporting & Process Improvement Run and review existing operational and financial reports. Perform basic analysis including averages, percentages, growth rates, and comparisons. Review reports with the owner and turn decisions into completed tasks. Identify opportunities to improve systems, processes, reporting, or efficiency. Provide constructive input when something could be done better.   • Experience in administration, operations, bookkeeping, or a similar business environment. Strong organization and follow-through. Comfortable with computers and business software. Ability to work independently with limited supervision. Strong written and verbal communication.

We are looking for someone who takes pride in their work, notices when something isn't right, thinks about how things could be done better, and takes responsibility for getting things done. You don't need to know everything, and you don't need to have an answer to every problem. However, we do expect you to think. You will have direct communication with the owner, and your ideas and input are welcome — and expected.
Compensation:
Based on experience and qualifications. Background and reference checks may be required.
Pay:
$25.00 - $32.00 per hour Expected hours: 20.0 - 25.0 per week
