This position is responsible for coordinating information, monitoring follow-ups and deadlines, maintaining operational reports and spreadsheets, supporting procurement activities, assisting with policy updates, and helping ensure that key operational priorities remain organized and on track. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable working across multiple properties and with property management teams to gather information, track outstanding items, and support the successful execution of operational initiatives. Success in this position means keeping the Senior Vice President of Operations informed and supported, ensuring that operational tasks and deadlines are consistently tracked and followed up on, maintaining accurate and accessible information, and helping the operations team stay organized, coordinated, and accountable.
ESSENTIAL DUTIES
Provide direct administrative support to the Senior Vice President of Operations. Coordinate and follow up on operational requests, assignments, action items, and deadlines. Track outstanding projects and deliverables to ensure timely completion and escalation of overdue items when appropriate. Coordinate information and documentation with Property Managers and other operational personnel. Maintain accurate spreadsheets, tracking logs, reports, and operational databases. Prepare, update, organize, and distribute recurring operational reports. Assist with procurement activities, including gathering pricing and information, tracking orders, coordinating with vendors, and maintaining procurement records. Assist in developing, updating, organizing, and distributing company policies, procedures, and operational guidelines. Help maintain organized records, files, documentation, and operational resources. Coordinate information across departments and properties to ensure consistency and timely communication. Monitor recurring operational requirements and help ensure deadlines and compliance-related items are addressed. Assist with special projects and operational initiatives as assigned by the Senior Vice President of Operations. Identify outstanding issues or gaps and proactively follow up with the appropriate parties. Maintain confidentiality when handling company, employee, property, resident, vendor, and operational information. Perform other administrative and operational support duties as needed.
KNOWLEDGE, SKILLS AND ABILITIES
Strong organizational and time-management skills with the ability to manage multiple priorities. Excellent attention to detail and accuracy. Strong follow-up skills and the ability to hold tasks and deadlines accountable. Proficiency with Microsoft Office, particularly Excel, Word, and Outlook; experience with Google Workspace is a plus. Ability to create and maintain spreadsheets, tracking systems, and reports. Strong written and verbal communication skills. Ability to work independently while also collaborating effectively with Property Managers and other team members. Professional, dependable, proactive, and solutions-oriented approach. Ability to handle sensitive information with discretion.
EDUCATION AND EXPERIENCE
Associate's degree or Bachelor's degree in Business Administration, Business Management, Operations Management, Real Estate, Hospitality Management, or a related field preferred and/or 7+ years of experience in administrative, operations, property management, office management, or a related role and/or High school diploma or equivalent combination of education and relevant administrative, operations, property management, or business experience may be considered in lieu of a degree. Coursework or training in business administration, project coordination, procurement, property management, or office administration is a plus but not mandatory.
Pay:
$65,000.00 - $72,000.00 per year
