Job Description

Position Overview Bask is seeking a dependable, organized, and hospitality-minded Retreat Hospitality Coordinator to oversee the preparation, on-site support, and post-retreat reset of our property. This is a hands-on role focused on making sure every retreat at Bask feels welcoming, organized, clean, comfortable, and thoughtfully prepared. The Retreat Hospitality Coordinator will work closely with retreat leaders, guests, Bask staff, housekeeping, catering, and other partners to ensure each retreat runs smoothly from arrival through departure. This position is ideal for someone who notices the little things, enjoys taking care of people, and can confidently manage the moving pieces of a hospitality environment. Key Responsibilities Pre-Retreat Preparation Review upcoming retreat schedules, guest counts, lodging assignments, meal plans, and special requests. Coordinate with retreat leaders and the Bask team, specifically the Ops Manager and Property Manager, to confirm final retreat details. Ensure all spaces, and common areas are clean, stocked, and guest-ready. Prepare guest rooms, welcome materials, signage, amenities, and other hospitality details, in tandem with the housekeeping team. Confirm catering, meal service, practitioner, and event-related logistics as needed. Prepare retreat spaces based on the leader's requested setup. Complete a final property walkthrough before guest arrival. Identify and communicate maintenance, housekeeping, or supply needs before the retreat begins. During the Retreat Serve as an on-site hospitality contact for retreat leaders and guests. Welcome guests and assist with arrival and check-in when needed. Ensure lodging and shared spaces remain comfortable, clean, stocked, and functional. Coordinate meal setup, service, kitchen support, and cleanup as needed. Communicate with retreat leaders throughout the stay and respond to reasonable guest needs. Troubleshoot hospitality or property issues and coordinate with the appropriate Bask team member when necessary. Help maintain the atmosphere and standards of Bask while respecting the retreat leader's programming and schedule. Support transitions between meals, activities, workshops, and gathering spaces. Ensure Bask's guest guidelines and property expectations are communicated and followed appropriately. Post-Retreat Assist with guest departure and checkout. Complete a walkthrough of lodging and retreat spaces after departure. Document and communicate any damage, missing items, maintenance concerns, or unusual cleaning needs. Restock hospitality and retreat supplies along with housekeeping. Return furniture, equipment, and event spaces to their standard setup. Gather relevant feedback from retreat leaders and communicate opportunities for improvement. Ensure the property is fully prepared for the next retreat or overnight guests. Who We're Looking For The ideal candidate is: Naturally hospitable, warm, and guest-focused. Extremely organized and attentive to detail. Dependable and comfortable taking ownership of responsibilities. Able to anticipate needs rather than waiting to be asked. Calm and solutions-oriented when plans change. Comfortable communicating with guests, retreat leaders, vendors, and staff. Able to balance hospitality with Bask's property policies and expectations. Comfortable working independently as well as alongside a small team. Willing to be hands-on with setup, cleanup, stocking, organizing, and other hospitality needs. Passionate about creating thoughtful and meaningful guest experiences. Experience in hospitality, hotels, retreat centers, event operations, guest services, vacation rentals, catering, or property management is preferred. Physical & Scheduling Requirements This is an active, hands-on hospitality position. Candidates should be comfortable walking throughout the property, navigating outdoor and natural terrain, standing for extended periods, carrying supplies, making beds, moving light furniture, and assisting with event and retreat setup. Availability will vary based on Bask's retreat calendar, and some early mornings, evenings, weekends, and holidays may be required.
Pay:
$18.00 - $25.00 per hour Expected hours: 10.0 - 24.0 per week
