Job Description

Job Description / Operations Director New River Church Responsible to: Lead Pastor, Elders of New River Fellowship The Operations Director will provide relational and operational leadership that helps New River Church turn ministry vision into clear, effective action. This role will strengthen the church's connection with newcomers, oversee systems and administrative processes, support staff accountability and efficiency, serve as a consistent liaison for volunteer team leaders, and coordinate church-wide events and community-building opportunities. The Operations Director should love people, enjoy solving problems, and be able to move an idea from initial vision through planning, communication, execution, follow-up, and evaluation.
OPERATIONS / SYSTEMS / PROCESSES
Translate ministry vision and organizational needs into practical workflows that clarify what must happen, who is responsible, when it is due, and how completion will be verified.
  • Design, document, implement, and improve workflows, timelines, checklists, communication plans, registration procedures, volunteer structures, and follow-up systems.
  • Coordinate approved projects across staff and ministry areas from initial planning through execution, follow-up, and evaluation, ensuring that responsibilities, deadlines, and expectations are clear.
  • Identify operational gaps, duplicated work, unclear ownership, and recurring points of failure; collaborate with the appropriate leaders to implement practical solutions and document improvements.
  • Maintain accessible documentation for recurring church processes and evaluate systems regularly for effectiveness and continued improvement.
STAFF GOALS & EFFICIENCY MANAGEMENT
Support a healthy culture of clarity, accountability, follow-through, and continual improvement among New River's staff under the direction of the Lead Pastor.
  • Partner with the Lead Pastor and each staff member to establish clear quarterly goals, expected outcomes, action steps, measures of completion, and target dates.
  • Maintain a central staff-goals tracker and conduct regular check-ins throughout each quarter to review progress, clarify next steps, identify obstacles, and follow up on agreed-upon actions and deadlines.
  • Identify stalled work, competing priorities, unclear responsibilities, and overdue commitments; work with the staff member to resolve issues and provide the Lead Pastor with concise updates when direction or additional support is needed.
  • Facilitate an end-of-quarter review of completed, incomplete, and deferred goals, documenting lessons learned and helping prepare the following quarter's priorities.
  • Promote accountability with clarity, encouragement, discretion, and respect, recognizing that pastoral supervision and final personnel authority remain with the Lead Pastor and Elders.
VOLUNTEER TEAM LEADER SUPPORT
Serve as a consistent operational liaison between church staff and volunteer leaders so needs are understood, directed to the right person, and followed through to completion.
  • Build and maintain regular communication with leaders of Hospitality, Welcome, Security, and other assigned Serve Teams.
  • Receive operational questions, requests, and concerns from volunteer leaders; connect each need with the appropriate staff or ministry owner and follow up until it has been addressed or a clear decision has been communicated.
  • Identify recurring Serve Team needs and help clarify roles, expectations, schedules, communication processes, training resources, and other practical support.
  • Help staff understand volunteer-team needs and recommend appropriate systems, resources, training, or communication improvements.
CONNECTION / NEWCOMER ENGAGEMENT
Create a clear and personal pathway that helps newcomers and disconnected attenders build relationships, identify next steps, and find meaningful places to belong and serve.
  • Serve as a central connection point for Serve Team that covers newcomer onboarding and disconnected attenders by learning their stories, helping them identify appropriate next steps, and providing personal follow-up through calls, messages, or in-person meetings.
  • Oversee Serve Team that maintains awareness of current church opportunities and connects individuals and families with appropriate Community Groups, Serve Teams, classes, pastoral care, and other ministries, including tracking next steps following Connect Class.
  • Maintain clear records of newcomer interests, referrals, and follow-up so commitments do not fall through the cracks.
  • Identify recurring barriers to connection and recommend improvements to the church's newcomer and assimilation process.
CHURCH-WIDE EVENTS
Plan and execute church-wide events by turning ministry vision into an organized, well-communicated experience from initial concept through post-event evaluation.
  • Develop and maintain comprehensive event plans addressing timelines, responsibilities, budgets, registration, communications, volunteer needs, facilities, supplies, hospitality, contingencies, and follow-up.
  • Coordinate staff, volunteers, vendors, childcare, hospitality, setup, execution, and cleanup, providing operational leadership on the day of assigned events.
  • Anticipate potential problems and ensure that event owners understand their responsibilities, deadlines, and contingency plans.
  • Lead or facilitate post-event evaluation and document improvements for future events.
OFFICE & ADMINISTRATIVE OPERATIONS
Provide reliable administrative oversight that keeps the church office, calendar, facilities coordination, and recurring ministry needs organized and current.
  • Maintain the master church calendar and ensure consistency between CCB, Google Calendar, and other public or internal calendars.
  • Assist staff with calendar coordination, meeting scheduling, travel arrangements, guest-speaker logistics, and other recurring administrative needs.
  • Update the NRC Metrics Spreadsheet and other assigned recurring administrative reports.
  • Oversee church office, hospitality, meeting, and ministry-support needs, including supplies, printed materials, volunteer resources, meals, and other recurring logistics; complete or delegate these responsibilities as appropriate.
  • Schedule building rentals and coordinate with renters, staff, and hired positions as needed.
COMMUNICATIONS & INFORMATION MANAGEMENT
Help ensure that accurate, timely information moves between staff, leaders, volunteers, newcomers, and the congregation.
  • Monitor general church phone calls, voicemails, and emails; respond appropriately or route ministry-specific questions to the appropriate staff member.
  • Coordinate church-wide event and announcement information, maintaining accurate details in CCB, Display Church, the website, and other assigned channels.
  • Develop communication plans for major church initiatives, identifying message owners, audiences, channels, and timing.
  • Track communication-related follow-up and confirm that important requests and commitments receive a response.
DATABASE / CCB ADMINISTRATION
Serve as the lead administrator for the church database, maintaining accurate records and effective systems that support people, groups, events, volunteers, and ministry follow-up.
  • Maintain accurate CCB profiles through weekly review, correction, deduplication, and the responsible archiving of individuals who are no longer attending.
  • Create and update profiles, visitor records, connection requests, and Community Group requests, using CCB to track newcomer follow-up and next steps.
  • Create and maintain Community Groups, Serve Teams, events, rooms, calendars, and volunteer-management processes within CCB.
  • Create, review, update, and retire CCB forms and workflows, regularly evaluating database practices for accuracy, security, usability, and unnecessary duplication.
  • Troubleshoot database issues, research solutions, and coordinate outside support when needed.
  • Train designated staff and volunteer leaders to use CCB effectively, including refresher training as needed.
GENERAL EXPECTATIONS
  • Meet regularly with the Lead Pastor for direction, priorities, problem-solving, and review of staff goals and operational needs.
  • Work collaboratively with staff, Elders, ministry leaders, and volunteers while maintaining appropriate confidentiality and discretion.
  • Communicate early when deadlines, systems, events, or ministry needs are at risk.
  • Model New River's mission, values, relational culture, and commitment to serving people well.
  • All other duties as assigned by the Lead Pastor or Elders.
SUPPORT AND RESOURCES
  • Appropriate access to CCB, church calendars, communication platforms, files, operational records, and other systems necessary for the role.
  • Clear delegated authority from the Lead Pastor for staff goal follow-up, cross-ministry coordination, operational decisions, and volunteer-team support.
  • Regular communication and support from the Lead Pastor, Elders, staff, and ministry leaders.
  • Opportunities for training and growth in church operations, systems management, staff accountability, database administration, and event leadership as approved.
Pay:
$60,000.00 - $80,000.00 per year
