DISTINGUISHING CHARACTERISTICS
The Assistant to the ASSETS Program Director is responsible for providing immediate and ongoing administrative support to the administrative and program staff. Assistant to the ASSETS Program Director will work cooperatively with the ASSETs Program Director to: facilitate, plan, and supervise academic, athletic, artistic, and recreational programs and activities that promote achievement of YouthDevelopment keeping within the mission that is the Boys and Girls Club of Westminster and the guidelines of the school district preparing youth for success.
ESSENTIAL DUTIES
Work the proposed schedule with flexibility as needed. Aids in the development of annual program objectives and prepares monthly calendars. Comply with weekly statistical reports reflecting all activities, attendance, and participation. Promotes and stimulates membership within the Club. Assist the ASSETs Program Director in coordinating publicity for programs and services within the Club and the community. Handle day-to-day operations of the front counter, answer phone calls and greet callers or clients, answer general inquiries, direct calls, take messages for CEO, program staff members and Program Director, prepare correspondence, including typing various documents, faxing, photocopying, and filing. Data entry and various accounting applications, routine e-mails ensuring prompt and accurate forwarding of messages. Prepare presentation materials in Microsoft PowerPoint and Microsoft Publisher to create fliers, brochures, etc. Knowledge and use of Microsoft Office and spreadsheets. Establish and maintain current recordkeeping and record retrieval system. Uphold company policy on statement of confidentiality as it pertains to club members and staff information. Adhere to organization policies and procedures as described in BGCW Employee Handbook. Provide support to for all programs which may include driving, shopping, supervision of youth as needed. Act as liaison to school staff and administrators. Supervise and ensure the safety of the members and staff at all times in accordance with approved policies and procedures. Supports the Program Director in managing administrative and operational processes, overseeing the maintenance of the physical property and equipment ensuring overall safety and cleanliness at the site.
SKILLS/ KNOWLEDGE
High School Degree or Equivalent and 48 College Units or passing of the Paraeducator Exam
Background in child care/education is desired.
Strong written and verbal communication skills, attention to detail
Demonstrated ability in working with young people, parents, and community leaders.
Interpersonal relations skills; using patience, tact, and respect.
Preparation and maintenance of clear and accurate records and reports, including but not limited to member attendance tracking.
PHYSICAL REQUIREMENTS
:
May be required to walk on uneven surfaces. Stand or sit for extended periods of time.
May be required to lift equipment up to 30 lbs
May be exposed to out door elements including noise and weather
Finger manipulation, bending, twisting, stooping, and overhead reaching
Bending, twisting, stooping, overhead reaching, and repetitive hand/arm motion
Ability to sit, stand, and walk for prolonged periods.
And walk quickly on occasion
