Programs Coordinator

Job Description

The Programs Coordinator provides organization-wide support to YWCA program staff by coordinating program data, schedules, supplies, evaluation activities, internal communications, grant implementation requirements, and reporting information. This position helps strengthen consistency and accountability across YWCA programs while allowing program directors and frontline staff to focus on direct service delivery. The Programs Coordinator works closely with the Executive Director, Grants and Outcomes Coordinator, program directors, site coordinators, instructors, contractors, and other program personnel. The Programs Coordinator does not replace the authority or day-to-day supervisory responsibilities of individual program directors. Instead, the position provides coordination, documentation, follow-up, and administrative support across programs. Essential Duties and Responsibilities Program Coordination and Staff Support Serve as a central point of coordination for organization-wide program schedules, deadlines, documentation, and reporting needs. Meet regularly with program staff to review upcoming activities, staffing needs, supply needs, data requirements, and grant obligations. Maintain a master program calendar that includes program dates, evaluation periods, reporting deadlines, field trips, special activities, staff meetings, and major events. Assist program staff with organizing program plans, participant communications, schedules, forms, and supporting materials. Help identify scheduling conflicts, missing information, incomplete documentation, or operational concerns and communicate them to the appropriate supervisor. Provide follow-up support to help ensure assigned program tasks are completed. Data Collection and Evaluation Coordinate consistent collection of attendance, enrollment, demographic, participation, referral, and outcome data across programs. Assist staff with administering surveys, assessments, pre-tests, post-tests, satisfaction surveys, and other evaluation tools. Review submitted data for completeness, accuracy, and consistency. Maintain organized program evaluation files and tracking spreadsheets. Compile and summarize program results for review by the Executive Director, Grants and Outcomes Coordinator, and program staff. Assist with identifying trends, successes, service gaps, and areas needing improvement. Support development and refinement of practical data collection procedures that program staff can use consistently. Maintain confidentiality of participant and program information. Grant Implementation and Reporting Support Work with the Executive Director and Grants and Outcomes Coordinator at the beginning of each funded project to help communicate: Program goals and expected outcomes Staff and partner responsibilities Approved activities and service requirements Grant budgets and allowable expenses Data collection requirements Documentation expectations Reporting timelines Help translate grant requirements into program calendars, staff checklists, tracking tools, and implementation plans. Monitor internal grant-related deadlines and remind staff of upcoming responsibilities. Gather program information, attendance records, outcome data, success stories, photographs, invoices, and other materials needed for grant reports. Assist the Grants and Outcomes Coordinator with organizing and verifying information for interim and final reports. Help identify differences between proposed and actual program activities and communicate concerns promptly. Support documentation of program accomplishments, participant outcomes, barriers, and corrective actions. Assist with maintaining grant implementation files and supporting documentation. Programmatic Communications Prepare or coordinate routine communications to participants, families, staff, contractors, and program partners. Assist with program calendars, reminders, registration notices, schedule changes, field trip information, and special announcements. Provide accurate program information to the Communications Coordinator for newsletters, social media, website updates, flyers, and success stories. Review program-specific communications for accuracy before they are released. Help ensure that program staff submit communication requests and content by established deadlines. Program Supplies and Purchasing Work with program staff to identify supply and material needs. Review supply requests for completeness and alignment with approved program or grant budgets. Coordinate approved purchases with the Administrative Coordinator or Executive Director. Track program orders, receipts, delivery status, and distribution. Maintain basic supply inventories for shared program materials. Help ensure that grant-funded purchases are appropriately documented and charged to the correct program, grant, class, customer, or job code. Quality Improvement and Documentation Assist with the development and maintenance of program procedures, forms, checklists, calendars, and training materials. Help standardize documentation practices across YWCA programs. Support program staff in preparing for monitoring visits, funder reviews, audits, evaluations, and internal program reviews. Assist with participant file reviews when requested. Help document program challenges and recommend practical improvements. Participate in program planning, implementation, and evaluation meetings. Assist with special projects assigned by the Executive Director. Working Relationships Executive Director The Programs Coordinator works closely with the Executive Director to: Coordinate organization-wide program priorities Identify program concerns or unmet needs Monitor implementation of major initiatives Support staff accountability Prepare program information for the Board, funders, and community partners Grants and Outcomes Coordinator The Programs Coordinator works closely with the Grants and Outcomes Coordinator to: Understand grant requirements at the beginning of implementation Establish data collection and reporting procedures Gather program information and documentation Track outcomes and deliverables Prepare accurate and timely grant reports Identify future funding or program development needs The Grants and Outcomes Coordinator remains primarily responsible for researching grant opportunities, preparing grant applications, coordinating initial grant implementation expectations, and completing formal grant reports. The Programs Coordinator supports this work by maintaining ongoing communication, collecting information, coordinating documentation, and helping staff meet implementation requirements. Program Staff The Programs Coordinator supports program directors and frontline staff by: Organizing program information Coordinating schedules and deadlines Assisting with evaluation and data collection Tracking supplies and documentation Facilitating communication across programs Program directors retain responsibility for direct program supervision, participant safety, staff performance, curriculum delivery, and daily program operations unless otherwise assigned. Required Qualifications At least two years of experience in program coordination, nonprofit services, education, youth programming, social services, evaluation, grant-supported programming, or a related field. Strong organizational and project coordination skills. Experience collecting, organizing, reviewing, or reporting program data. Proficiency with Microsoft Office, Google Workspace, spreadsheets, and shared electronic files. Ability to create practical tracking tools, calendars, checklists, and reports. Strong written and verbal communication skills. Ability to work collaboratively with employees in different programs and positions. Ability to manage multiple deadlines and follow up professionally. Experience with grant-funded programs or program evaluation preferred. High school diploma required; associate or bachelor's degree in nonprofit management, education, social services, business, public administration, or a related field preferred. Relevant experience may be substituted for formal education. Valid driver's license and reliable transportation. Ability to successfully complete required background checks. $18.00 - $24.00 per hour
