Job Description
Job Summary Second Harvest Food Bank Feeding South Louisiana is seeking a Community Food Program Coordinator to help ensure income-eligible seniors receive monthly nutritious food assistance through the Commodity Supplemental Food Program (CSFP). This community-facing position manages relationships with assigned partner distribution sites, assists seniors with enrollment and recertification, maintains accurate participant records, and leads food distributions throughout the assigned service area. The coordinator serves as a primary point of contact for participating seniors and community partners and helps ensure the program operates efficiently and in compliance with USDA and Louisiana Department of Health requirements. CSFP, sometimes called the Senior Food Box Program, is a USDA program administered by the Louisiana Department of Health and operated by Second Harvest in partnership with Feeding Louisiana and community organizations. Essential Duties and Responsibilities Partner Site Coordination and Compliance Serve as the primary Second Harvest contact for an assigned group of CSFP partner distribution sites. Manage day-to-day partner communication, scheduling, training, and site support. Confirm monthly distribution dates, times, and requested food-box quantities with assigned sites. Prepare participant rosters and provide them to partner sites before each distribution. Collect, review, reconcile, and process completed rosters following each distribution period. Conduct annual partner-site training, compliance visits, and evaluations. Develop and monitor corrective-action plans when compliance concerns are identified. Escalate unresolved compliance or operational concerns to the CSFP Manager. Build positive, responsive relationships with partner-site representatives and community stakeholders. Food Distributions Lead assigned food distributions from vehicle arrival through completion. Verify food-box quantities and oversee participant intake and distribution activities. Reconcile distributed, returned, damaged, or unaccounted-for boxes. Address real-time distribution challenges professionally and efficiently. Ensure participants in attendance are served or provided with an appropriate alternative solution. Report distribution discrepancies, safety concerns, and unresolved issues to the CSFP Manager. Support volunteers and partner-site personnel during distributions. Participant Enrollment and Program Services Review and process program applications within established timelines. Verify applicant eligibility and ensure required documentation is complete. Create and update participant profiles in PantrySoft. Issue appropriate program correspondence to applicants and participants. Maintain accurate participant information, including contact information, eligibility status, distribution history, proxy information, and assigned distribution site. Complete annual eligibility reviews and proactively recertify participants approaching expiration. Discontinue or inactivate participants when required and ensure all records and correspondence are updated. Record missed distributions and identify participants who may require follow-up or discontinuation. Handle participant information with confidentiality, sensitivity, and sound judgment. Participant Communication and Community Outreach Respond promptly and professionally to participant telephone calls, voicemails, emails, and other inquiries. Contact seniors following missed distributions and provide information about available options. Distribute quarterly program schedule cards and send approved text-message notifications. Respond to Senior Food Box interest forms and enrollment inquiries within established response times. Explain program eligibility, enrollment, recertification, distribution, and proxy requirements in clear and accessible language. Conduct community outreach to increase awareness of the program and connect eligible seniors with services. Partner with the CSFP team and community organizations to build and maintain the program waitlist. Provide participants and community partners with a high level of compassionate, respectful service. Data, Reporting, and Recordkeeping Enter, update, and maintain accurate program information in PantrySoft and the CSFP Data Tracker. Update roster statuses as documents are received and processed. Reconcile food-box quantities, participant visits, distribution records, and program supplies. Track program kits and supplies at assigned sites and notify the CSFP Manager and Director of inventory needs or discrepancies. Conduct regular data-quality reviews for assigned partner sites. Correct incomplete, inaccurate, or outdated participant and site information. Prepare and submit required monthly reports and supporting documentation. Maintain accurate physical and electronic records in accordance with program and record-retention requirements. Ensure documentation is organized, current, and ready for monitoring or audit review. Additional Responsibilities Assist with organizational disaster-response activities as assigned. Follow Second Harvest's mission, values, policies, procedures, and Code of Conduct. Maintain a professional, positive, respectful, and courteous demeanor. Perform other duties as assigned to support program and organizational needs. Working Conditions This position is based at a Second Harvest regional facility and includes a combination of office-based work and regular field engagement.
Minimum Qualifications:
Education and Experience Bachelor's degree or an equivalent combination of education, training, and relevant experience. At least two years of experience in one or more of the following areas: Community programs or outreach Senior services Social services or public benefits Participant enrollment or eligibility determination Public health or community health Nonprofit program administration Case management or client services Experience entering, maintaining, and reviewing participant, client, or program data. Valid driver's license, reliable transportation, and current automobile insurance. A combination of education, professional experience, volunteer service, and relevant training that provides the required knowledge and skills may be considered. Sound judgment and discretion when handling confidential participant information. Ability to identify problems, respond appropriately, and escalate concerns when necessary. Experience training, coordinating, or supporting volunteers. Proficiency with Microsoft Word, Excel, Outlook, Teams, and standard office equipment. Ability to learn PantrySoft and other program-management systems. Preferred Qualifications Experience working with older adults or income-based assistance programs. Experience with USDA nutrition programs, food-assistance programs, eligibility enrollment, or regulated community services.
