About the role You'll run the programs our clients and prospects see every week — class calendars, reminders, follow-up emails, monthly client reports, social posts and our training room. Much of it is already automated; your job is to keep it running cleanly, catch what falls through, and give our clients a polished, reliable experience. You'll work alongside our office manager and trainers, with a structured 90-day onboarding and written procedures for every process you own. What you'll do Keep the public class calendar accurate across our website, Zoom, Outlook, and Eventbrite, and build each new six-month calendar from our template. Run the weekly and monthly client communications: class reminders, post-session follow-up emails, the monthly Lessons Learned client reports, and the Leadership/Management program emails. Keep HubSpot accurate as our system of record — new clients, lifecycle changes, program enrollment — so our email lists stay right. Schedule and publish our weekly Sales Tip and social posts (Hootsuite, LinkedIn, Facebook) and maintain our Google Business Profile and website pages. Enroll new clients in Sandler Online / Growth Academy and support AI role-play coach onboarding. Set up the training room for in-person and hybrid sessions (Meeting Owl, Zoom, displays) and handle first-line tech questions. Produce class PowerPoints and on-screen materials from trainer content. Help run the office day to day: mail, supplies, book inventory, facilities requests, and the weekly team meeting agenda. Send class certificates and new-client startup emails, and keep our LinkedIn network growing week to week. Must-haves 2+ years in marketing coordination, client services, or operations in a small professional-services firm. Comfortable working in a CRM and an email platform every day. HubSpot and Mailchimp specifically, we'll teach. Genuinely fine with data entry. Roughly a third of this role is keeping records accurate across HubSpot, Outlook, and our client lists. Steady with a full plate. You keep your own task list and calendar, and you flag early when something is slipping. Strong Microsoft 365 skills: Outlook, Excel, SharePoint, PowerPoint. Comfortable running Zoom meetings. Real attention to detail. You notice the wrong date, the missing contact, the broken link — and you fix it before a client does. You like a steady, repeatable process and you're the person who keeps a checklist. Comfortable saying "let me check and get back to you tomorrow" when asks pile up. We'll teach (a plus if you already know) Hootsuite, Eventbrite or a website CMS. Experience in a training, coaching, or franchise environment. HubSpot, Mailchimp, Zoom administration and our Sandler program calendar. How you'll be supported A written 30/60/90 plan with a fixed set of processes per phase. Step-by-step procedures for every recurring task. One weekly task list and a weekly check-in — one place for priorities, not five.
