PRIMARY FUNCTION
Coordinate the planning, logistics, administration and execution of in-person and virtual learning programs to ensure programs are delivered accurately, efficiently and professionally and provide an exceptional experience for learners, members, speakers, sponsors and volunteers.
SPECIFIC RESPONSIBILITIES
Manage program logistics from initial planning through execution and post-event reconciliation, using established timelines, checklists and procedures to ensure all details are completed accurately and on schedule. Coordinate with venues, speakers, vendors, sponsors, volunteers and internal staff regarding program logistics, deadlines and requirements. Develop and maintain detailed event timelines, production schedules, room specifications, speaker information and other program documentation. Track multiple programs and deadlines simultaneously, proactively identifying outstanding items and following through to completion. Serve as a day-of/program logistics contact, troubleshooting issues and ensuring a professional experience for attendees, speakers and volunteers. Coordinate speaker logistics, including agreements, biographies, presentation materials, session descriptions and learning objectives and other program requirements as applicable. Ensure accurate program information is entered and maintained across registration, learning and event technology platforms. Support compliance with continuing professional education requirements, including attendance documentation, evaluations, certificates and required program records. Review invoices, track program expenses and assist with budget reconciliation. Identify opportunities to improve event processes, checklists and standard operating procedures. Perform other duties as assigned.
MINIMUM QUALIFICATIONS
Three years of related experience in event planning, meeting coordination, program administration, or a related role. Demonstrated ability to manage multiple programs, projects, deadlines and competing priorities simultaneously with a high degree of accuracy. Exceptional attention to detail, organizational skills and follow-through. Strong written and verbal communication and interpersonal skills. Ability to anticipate needs, identify potential issues and independently resolve routine problems. Ability to work effectively both independently and collaboratively in a fast-paced, deadline-driven environment. Strong customer-service orientation and ability to interact professionally with members, speakers, volunteers, vendors and other stakeholders. Advanced computer skills, including proficiency with Microsoft Office Suite and the ability to learn new events and learning technology platforms. Ability to maintain a high degree of professionalism and discretion. Ability to travel overnight approximately 10% and occasionally work evenings or weekends in support of programs.
PREFERRED BACKGROUND
Bachelor's degree in business, marketing, communications, or a related field. Previous experience working in an association. Experience coordinating conferences, professional education programs, meetings or other multi-faceted events. Association Management System (AMS) experience. Experience with the CPA profession or a similar licensed profession. Flexible work from home options available.
