Full Job Description Overview Job Title:
Office Coordinator At McKinley Engineering and Consulting, educating and supporting our clients is our priority. We offer structural and geotechnical engineering services. Our mission is to provide reliable, unbiased support and education to residential customers, realtors, builders, and business owners. We are accountable for our projects, uphold the highest integrity, and take pride in communicating consistently with clients and maintaining lasting professional relationships. We have an open position for a dedicated individual to join our team on a long-term basis. This position will start out as part-time with 25-30 hours, and with the right individual, will move up to full-time with 40 hours per week after being fully trained and excelling in their position. Responsibilities:
Answering phone calls, responding to webform inquiries, and providing excellent customer service. You would be the "voice" of our company Communicating with clients about project details and updates Some sales is needed to have the ability to help our clients understand the services we offer and which services meet their needs. It is all inbound calls from clients who are reaching out to us Keeping project momentum on track by ensuring timely communication with clients Assigning project numbers and tracking project details, along with support from our Project Coordinator Setting up and maintaining client information on all spreadsheets and folders in the Google Drive Scheduling inspections and managing the timeline for inspections Sending out invoices to clients and managing payment records Assisting with some social media
Requirements and Preferences:
High requirement: Strong professionalism and flawless written and spoken communication with client calls and email correspondence. The ability to handle high call volumes while logging data into our call log spreadsheet and understanding customer needs quickly. Having empathy and patience when speaking to clients. We treat our clients like they are family. Sometimes they are dealing with difficult situations and might not be in the best mood when they call. We are here to support them. Preference of at least one year experience working in the field of engineering, construction, or home service industry, or knowledge of understanding these areas of service. Have a curious personality and be eager to learn about topics that are previously unknown to you in the engineering and construction field. Knowledge of permitting processes and construction terminology, or ability to quickly learn about these areas of our industry. Proficient in scheduling and managing project timelines. Familiarity with county regulations and locations, especially Pinellas, Pasco, and Hillsborough counties Familiarity with the locations of Pinellas, Pasco, and Hillsborough counties in order to help with scheduling timelines for inspections. Proficiency with Google Suites, Google Sheets, Docs, etc... Experience with or ability to quickly learn how to use QuickBooks for sending invoices Strong problem-solving skills with a motivation to research and find solutions Detail-oriented and capable of managing multiple tasks simultaneously Provide at least 2 business and 2 personal references
Additional Skills:
