Job Description

Project Coordinator Job Summary We are seeking a highly organized, detail-oriented, and proactive Project Coordinator to join our growing team. The Project Coordinator serves as the administrative backbone of our project operations, ensuring projects are properly set up, documented, scheduled, and communicated from start to finish. This role works closely with Project Managers, installers, and vendors to maintain accurate project information, coordinate logistics, track documentation, and support successful project execution. As our company continues to expand, this position offers a clear pathway for advancement into a Project Manager role. Responsibilities Project Setup & Administration Create and maintain project records in ClickUp and other company systems. Input project details, work orders, installation requirements, and project documentation. Organize and maintain project files, completion photos, installer documents, and related records. Ensure all project information is accurate, complete, and up to date. Scheduling & Coordination Coordinate installation schedules with installers and Project Managers. Assist with routing and scheduling crews based on project needs and location. Monitor project timelines and communicate updates to all stakeholders. Track project progress and ensure milestones are met. Installer Management Maintain installer databases, including W-9s, Certificates of Insurance COIs, agreements, and other required documentation. Verify installer compliance requirements before projects are assigned. Coordinate communication between installers and Project Managers regarding project details and scheduling. Documentation & Reporting Upload and organize completion photos and project closeout documentation. Track project status and provide regular updates to management. Prepare reports, spreadsheets, and project summaries as needed. Maintain accurate records of project changes, delays, and communications. Team Collaboration Work closely with Project Managers to ensure smooth project execution. Participate in team meetings and contribute to process improvements. Help identify and resolve scheduling, documentation, or communication issues before they impact project timelines. Qualifications Previous experience in project coordination, administrative support, logistics, operations, or a related field preferred. Strong organizational and time-management skills with the ability to manage multiple projects simultaneously. Excellent written and verbal communication skills. Experience with project management software such as ClickUp, Monday.com, Asana, or similar platforms. Proficiency in Dropbox Ability to work independently while collaborating effectively with a team.
