Job Description

Small Projects / Retrofit Project Manager Position Summary Rolls Mechanical is seeking an experienced and highly organized Small Projects / Retrofit Project Manager to oversee the planning, scheduling, execution, and successful completion of commercial HVACR small projects and retrofit installations. This individual will be responsible for managing projects from initial turnover through final completion, ensuring that all work is performed safely, efficiently, profitably, and to the high-quality standards of Rolls Mechanical. The ideal candidate will possess a strong technical understanding of commercial HVACR systems, exceptional organizational and leadership skills, and the ability to effectively coordinate field crews, materials, equipment, subcontractors, and customer expectations. This position requires a hands-on leader who takes ownership of project performance, anticipates challenges, develops field personnel, and continuously identifies opportunities to improve processes and operational efficiency. Key Responsibilities Project Management & Execution Oversee all aspects of small commercial HVACR projects, equipment replacements, system upgrades, and retrofit installations from kickoff through completion. Establish and maintain standardized project management procedures, including job kickoff requirements, project workflows, scheduling, documentation, and closeout expectations. Utilize the company's BOPs platform to manage project information, track progress, organize documentation, and ensure accurate communication across departments. Review project scope, estimates, labor requirements, budgets, equipment specifications, and customer expectations before scheduling work. Coordinate with estimators, sales personnel, service management, and other departments to ensure a seamless transition from project award to execution. Monitor project budgets, labor productivity, material expenses, change orders, and overall profitability. Proactively identify potential project delays, scheduling conflicts, or cost overruns and implement appropriate solutions. Scheduling, Staffing & Field Team Leadership Take ownership of project scheduling, determining when jobs are ready to begin based on labor availability, material readiness, equipment requirements, and customer expectations. Develop and maintain efficient field schedules that maximize productivity and minimize downtime. Work closely with project administration and field leadership to ensure employees have consistent, productive work assignments. Evaluate field personnel's technical capabilities and assign projects that align with their experience and skill sets. Leverage available resources, including adjacent departments, hiring needs, project priorities, and customer requirements, to address staffing challenges. Coordinate manpower adjustments and project sequencing to accommodate urgent work and changing operational demands. Provide clear direction to field crews regarding project scope, schedules, job expectations, material availability, and safety requirements. Identify opportunities to improve field efficiency through staffing adjustments, employee development, van stocking, equipment availability, and improved processes. Support the professional development of field personnel by identifying training opportunities and helping employees expand their technical capabilities. Quality Control & Field Oversight Conduct regular jobsite visits and project audits to verify installation quality, progress, safety compliance, and adherence to project specifications. Develop and maintain a standardized quality control audit process for small projects and retrofit installations. Ensure completed installations meet manufacturer specifications, customer requirements, applicable building codes, and Rolls Mechanical standards. Create and utilize quality control documentation to evaluate and compare project performance, field crews, and installation processes. Identify workmanship concerns, installation deficiencies, or inefficiencies and coordinate timely corrective actions. Hold field personnel accountable for quality, productivity, professionalism, and jobsite expectations. Utilize audit findings to improve training, installation procedures, and overall field performance. Qualifications & Experience Minimum of 5 years of experience in commercial HVACR installation, service, construction, or project management preferred. Strong technical knowledge of commercial HVACR equipment, including rooftop units, split systems, boilers, chillers, refrigeration equipment, and associated mechanical systems. Experience managing commercial HVACR retrofit projects, equipment replacements, and small construction projects. Demonstrated ability to coordinate multiple projects, field crews, vendors, and customer expectations simultaneously. Working knowledge of HVACR installation practices, startup procedures, commissioning, and applicable mechanical codes. Experience with project budgeting, labor management, material purchasing, and job costing. Strong organizational, communication, problem-solving, and leadership abilities. Proficiency with project management software and digital documentation systems; experience with BOPs is a plus. Ability to read and interpret mechanical drawings, specifications, equipment submittals, and project documentation. Valid driver's license and ability to travel to active jobsites as needed. What We're Looking For At Rolls Mechanical, we're looking for more than someone who can simply manage a schedule. We want a leader who takes pride in their work, understands the importance of supporting their field teams, and takes complete ownership of the projects they manage. The right individual will be proactive rather than reactive, recognize challenges before they become problems, and understand that successful project management requires a balance of technical knowledge, organization, communication, and accountability. Our goal is to find someone who can help us build a more efficient, organized, and profitable small projects and retrofit operation while continuing to deliver the quality workmanship and customer experience that Rolls Mechanical is known for.
