The Project Coordinator is the customer's main point of contact once a project has been handed off from the Project Development Manager. This role owns customer relations for the life of the project in operations, making sure customers receive timely, accurate communication on status, schedule, questions, and changes. The Project Coordinator keeps visibility of how each project moves through operations - detailing and programming, fabrication, paint/powder coat, and shipping - and coordinates with each area so the project reaches the customer on time and as promised. This position does not supervise others; it is accountable for customer satisfaction, clear communication, and on-time delivery of the projects it coordinates.
CORE RESPONSIBILITIES
Primary Area of Responsibility Receive the project handoff from the Project Development Manager, review the handoff package and kickoff plan, and confirm open items and customer expectations before work moves into operations. Serve as the customer's main point of contact after handoff; manage the relationship between the customer and LaX Industries from handoff through delivery. Communicate with customers in a timely, professional way - respond to questions, share status and schedule updates, and notify them promptly of any delays, issues, or changes. Maintain visibility of each project as it moves through operations, from detailing and programming through fabrication, paint/powder coat, and shipping. Coordinate with Scheduling, Detailing & Programming, Production, and Shipping so each project has what it needs at each step and ships complete and on time. Coordinate delivery and shipping details with the customer and Shipping, and confirm the customer has received what was promised. People Leadership & Accountability This position has no direct reports; it gets results through coordination, follow-through, and strong working relationships across the company. Work with the PC Lead as a technical resource to solve fabrication and print questions that come up after handoff. Own customer commitments and follow through on open items until they are closed. Model respectful, clear, and professional communication with customers, vendors, and internal teams. Safety & Quality Make sure customer requirements (specifications, finish/coating, documentation, packaging, and delivery requirements) are understood by the teams doing the work. Communicate quality issues or nonconformances to the customer with the facts, the plan to correct them, and any schedule impact, working with Quality and Production. Raise safety or quality concerns to the Shop Foreman or Plant Manager; the Project Coordinator does not stop or hold shop work directly. Follow all plant safety rules and PPE requirements when on the shop floor. Workflow, Systems & Communication Escalate to the Plant Manager any customer request - changes, additions, or expedites - that would change the operational flow or require the production schedule to change; route scope or pricing changes through the Project Development Manager and Estimating. Work with internal Scheduling to coordinate internal resources and outside vendors/third parties (e.g., outside processing or freight) needed to deliver the project. Keep project documentation current, including customer correspondence, change requests, revision status, open items, and shipping records. Report project status and risks to management as needed. Use Microsoft Office, email, and company project, scheduling, and detailing systems (e.g., Tekla) as required. Continuous Improvement & Teamwork Work with other Project Coordinators, the PC Lead, and the Project Development Manager to remove roadblocks and share what's working. Collect customer feedback and recurring issues and recommend improvements to communication, handoffs, and standard work.
