Construction Project Coordinator / Scheduler Hawkins Design Build Lake Lotawana, Missouri | Full-Time | In-Person $50,000-$60,000 per year, depending on experience About Hawkins Design Build Hawkins Design Build is a residential design-build company based in Lake Lotawana, Missouri. We specialize in custom high-end homes, major renovations, and lakefront construction. Our Maintenance & Preservation division also helps homeowners care for and improve their homes beyond the original construction. We are a small, hands-on team that cares about thoughtful design, quality construction, and the relationships we build with our clients. The details matter here, both in the homes we build and in how we communicate and follow through. As our workload grows, we are looking for a dedicated Project Coordinator / Scheduler to keep our projects organized, our schedules current, and our team informed. About the Role Your job is to know where each project stands, what needs to happen next, who is responsible, and when it needs to happen. Then follow through. You will work closely with our owner, superintendent, designer, and office staff to coordinate the information and commitments that keep construction moving. The core of this position is owning the day-to-day accuracy of JobTread , Dropbox, and Excel, maintaining project schedules, coordinating with subcontractors and vendors, and staying ahead of outstanding decisions and follow-ups. This is more than entering dates into a calendar. You will need to confirm that the people, materials, information, and approvals are in place for those dates to be realistic. When something changes, you will help identify what else is affected and make sure the right people know. This is a dedicated coordination role. You are not being hired to be the superintendent, make design decisions, manage company finances, or serve as a personal assistant. ResponsibilitiesOwn JobTread and Project Information Keep JobTread current and useful as the shared source of project information. Maintain schedules, task assignments, deadlines, meeting notes, approved documents, and outstanding items so the office and field are working from the same information. Capture decisions and commitments from project conversations and meetings. Make sure each action item has a clear owner and due date, and follow up until its status is confirmed. Maintain and Coordinate the Schedule Work with our superintendent to maintain realistic schedules across active construction projects and Maintenance & Preservation work. Coordinate subcontractor appointments, deliveries, inspections, site visits, and other project commitments. Confirm availability and readiness rather than assuming a date on the calendar means everything is arranged. Track the selections, approvals, materials, and information needed before upcoming work can begin. Identify conflicts early, communicate changes, and help keep one delay from quietly disrupting the next several steps. Stay on Top of Follow-Ups Follow up with team members, subcontractors, vendors, and clients on outstanding information and commitments. Know the difference between something that has been requested, something that has been confirmed, and something that is actually complete. When an item is stalled, find out what is missing, who can resolve it, and when an answer is needed. Bring unresolved issues to the appropriate person with the relevant facts and schedule impact. Keep the Office, Field, and Clients Informed Provide clear schedule confirmations, routine project updates, and next steps so people are not left guessing. Help prepare focused meeting agendas and keep track of the decisions and follow-up afterward. Communicate professionally by phone and email, including when you need to request an overdue answer or explain a schedule change. You will not be expected to answer every technical construction question. You will be expected to get it to the right person and make sure the answer gets back to everyone who needs it. Decision-Making Authority We want someone who takes initiative with coordination rather than waiting to be reminded about every follow-up. You will be expected to contact the people involved, confirm commitments, request missing information, maintain project records, and flag conflicts independently. Construction sequencing and field priorities will be established with the superintendent. Design, scope, pricing, and other consequential decisions remain with the appropriate project leader. Your responsibility is to keep ownership and follow-through clear, not to quietly take over everyone else's unfinished work. When a decision requires the owner or superintendent, your role is to bring forward a clear question with the information needed to answer it, then coordinate what happens next. We're Looking for Someone Who Has experience in project coordination, scheduling, construction administration, installation coordination, or a similar role involving multiple active jobs. Is comfortable using project-management software and keeping detailed digital records. JobTread experience is strongly preferred , but experience with a similar system and the ability to learn quickly are also valuable. Communicates clearly and professionally with homeowners, field staff, subcontractors, and vendors. Follows up consistently, catches missing details, and verifies information rather than guessing. Understands that a reliable schedule depends on more than dates, including material availability, completed selections, inspections, and preceding work. Enjoys keeping work organized and moving, and can adjust priorities without losing track of existing commitments. Experience with a residential builder, remodeler, specialty contractor, or installation/service company would translate well. You do not need to have run a construction company, but you should be comfortable learning how the work fits together and asking questions when something is unclear. What Success Looks Like Our superintendent can look ahead and know what is scheduled and what is ready. Our designer knows which selections and decisions are needed next. Clients receive timely updates. JobTread reflects what is actually happening, not what was planned two weeks ago. Most importantly, the owner and superintendent are not repeatedly chasing the same information or personally checking whether every follow-up happened. The schedule is dependable, responsibilities are clear, and potential delays are identified early enough to do something about them. Schedule and Work Environment This is a full-time, Monday-Friday, in-person position based at our Lake Lotawana office, with occasional visits to nearby projects. Working closely with the office and field team is an important part of the role. This is not a remote position. Benefits 10 days of PTO plus paid holidays. Health insurance available. 401(k) plan.
