Job Description:
We are seeking a hardworking, experienced professional to serve as an Assistant Project Manager with RAM Enterprise, Inc., in the Northwest Region. This is a salaried position reporting directly to the Senior Project Manager and is responsible for coordinating assigned projects while supporting overall project execution. This role provides backup support for Project Administration functions as needed. Essential Duties and Responsibilities include, but are not limited to: Promote safety as the company's number one priority.

Support, promote, and participate in the PDQ (People Determine Quality) and SPADE (Safe People Always Determine Excellence) programs.

Coordinate all assigned projects from initiation through close-outMaintain project schedulesCoordinate labor, materials, equipment, and subcontractorsAttend job walks, project meetings, and facilitate coordination effortsLead project kick-off and close-out processes, including documentation and reportingEnsure project contact lists are accurate and distributedCoordinate with Estimating on assigned projectsConfirm correct worksheets, rates, and scopes are usedAssist with vendor and subcontractor quotes to ensure scope alignmentMaintain complete and organized project documentation in G-Drive (RFIs, submittals, drawings, contracts, permits, etc.)Create and track RFIs, submittals, and logsEnsure all project files, photos, and records are properly storedPrepare turnover packages for project completionCoordinate procurement of materials and equipmentEnsure subcontractor onboarding, contracts, mobilization, and complianceCommunicate required documentation for purchase ordersCoordinate with AP and Controller on buyouts, prepayments, and termsAssist PM with project costing, tracking, and auditsEnsure all costs are accurate and accounted forReview and support timely, accurate project billings with proper documentationCoordinate with Project Accountant on cost tracking and financial accuracyAssist PM in managing contract scope and changesEnsure deviations are captured and processed through change ordersCoordinate with accounting to ensure proper booking and system updatesEnsure timecards, equipment, per diem, and diaries are accurate and completeVerify correct cost coding and daily costingEnsure job photos and field documentation are uploaded and maintained Project Administration Backup Responsibilities, as needed:
  • Maintain and organize G-Drive project folders and documentation
  • Support project billing workups and weekly invoicing accuracy
  • Ensure purchase orders, subcontract POs, and requisitions are accurate and processed
  • Track and ensure proper handling of invoices, receipts, and goods
  • Coordinate lodging and logistics for field personnel
  • Ensure contracts, MSAs, and project documentation are properly filed
  • Assist with T&M setup, approvals, and costing verification
  • Support communication between Project Manager, Accountant, and operational teams
  • Track equipment rentals and ensure proper cost allocation
  • Maintain administrative tracking sheets and reporting
Qualifications:
Possess a valid driver's license.

Professional level communication skills, with the ability to understand, read, and write the English language.

Must be highly detail-oriented 5 -7 years' minimum experience in a mining, construction, or similar industryExcellent computer skills: Excel, Microsoft Office, including typing.

Ability to work in a fast-paced, dynamic environment, while prioritizing projects and meeting deadlinesAbility to work as part of a team as well as independently with little supervision.

Ability to operate standard office equipment, including but not limited to, computers, printers, fax, telephone systems, calculators, and copiers.

Working conditions are standard for an office environment.

Work may require occasional weekend and/or evening work.

Ability to comply with all policies and procedures in Employee Handbook.

Regular travel to mining and industrial construction job sites (70%). o The environment may include minimal exposure to hazards typical of an industrial job site o Personal protective equipment is required when on job sites, including hard hats, hearing protection, safety glasses, safety footwear, and - as needed- respirators, gloves, and other required protective equipment. Regular office environment expectations (30%).
